SALARY: $21.76/Hr. (NEGOTIABLE)
Non-Exempt POSITION SUMMARY
This position will perform and/or oversee a variety of associated administrative, fiscal, personnel support, and planning activities, some of which require advanced or specialized knowledge and skills such as; budget administration and control, preparing statistical reports, conducting research, handling confidential information, equipment and facilities oversight, and inventory management, specialized recordkeeping and database management, and/or specified information-gathering projects and tasks. Coordinate, collaborate and assist with program functions, and/or special events, designated by the three Cultural Heritage Clan Managers as appropriate. Continuation of this position is contingent upon funding allocations. DUTIES AND RESPONSIBILITIES:
1. Practice excellent customer services skills at all times to include, but not limited to, addressing customer and staff needs courteously and promptly.
2. Develop and maintain positive working relationships with Cultural Heritage team, and internal/external working partners.
3. Manage correspondence by reviewing, sorting, logging and responding or routing as needed.
4. Provide direction to other Administrative personnel, Interns and youth workers through training on office procedures, directing or reviewing work if needed
5. Coordinate, monitor and process all accounts payable appropriation requests; purchase orders, per diem, mileage, invoices, and all related requests. Including annual open/close purchase order process.
6. Arrange travel, prepare and submit travel-related documents, and maintain travel information as necessary.
7. Prepare documents such as correspondence, reports, agendas, memos, forms, directories, and communications as requested.
8. Assist staff to plan, coordinate, communicate and prepare special events.
9. Maintain and monitor department social media communication.
10. Assist in the development, tracking, approval process and maintenance of contractual agreements for services and supplies as directed.
11. Assist with creating, monitoring and tracking departmental budgets and grants; prepare documents to track expenses and create reports as requested.
12. Conduct research to resolve operational questions or issues; make recommendations to enhance the efficiency of administrative operations.
13. Establish and maintain an effective filing and retrieval system, electronically or hard copy.
14. Maintain and operate office machines, equipment, and computers. Perform or coordinate general maintenance and repair.
15. Create or update processes, and policy and procedures as needed.
16. Responsible for the internal receiving, distribution and inventory of supplies.
17. Schedule appointments as requested. Maintain the conference room calendars.
18. Attend all meetings, events and trainings as needed or requested.
19. Contribute to a team effort and accomplish related results as required.
20. Maintain security and strict confidentiality of documents and other recorded information, communication and correspondences.
21. Adhere to all Tribal Personnel Policies and Procedures, Tribal Standard Operating Procedures, and Area and Program Strategic Plans and Policies.
22. The above duties and responsibilities are not an all-inclusive list but rather a general representation of the duties and responsibilities associated with this position. The duties and responsibilities will be subject to change based on organizational needs and/or deemed necessary by department director and program supervisors. PHYSICAL REQUIREMENTS/WORK ENVIRONMENT:
1. Frequently walk and sit; handle or feel; reach with hands and arms; and talk or hear.
2. Occasionally stand, stoop, kneel, crouch, or crawl; lift and/or move up to twenty-five (25) pounds.
3. Work is generally performed in an office setting with a moderate noise level.
4. Evening and/or weekend work and extended hours and irregular shifts may be required.
5. A Tuberculosis (TB) Screening and/or TB Skin Test is required within thirty (30) days of employment and annually thereafter as required STANDARD QUALIFICATIONS:
1. Knowledge of business English, proper spelling, grammar, punctuation, and basic math.
2. Knowledge of records management and basic accounting procedures including budgeting.
3. Knowledge of Cultural Heritage departments and programs.
4. Skill in operating various word-processing, spreadsheets, and database software programs in a Windows environment.
5. Ability to communicate effectively in the English language both verbally and in writing.
6. Ability to establish and maintain professional relationships with individuals of varying social and cultural backgrounds and with co-workers at all levels.
7. Ability to represent the organization in a professional manner, building respect and confidence.
8. Ability to write clear and concise reports, memoranda, directives and letters.
9. Ability to handle multiple tasks and meet deadlines.
10. Ability to carry out instructions in verbal or written format.
11. Ability to work independently with minimal supervision.
12. Ability to demonstrate excellence in everything, and continually seek improvement in results.
13. Must adhere to strict confidentiality in all matters. (Must sign a confidentiality statement prior to employment.)
14. Oneida Certification on Reporting Child Abuse and Neglect within ninety (90) days of employment.
15. Must be willing and able to obtain additional education and training.
16. Must pass a pre-employment drug screening. Must adhere to the Nation's Drug and Alcohol-Free Workplace Policy during employment.
17. Must pass a background security check with the Oneida Nation in order to meet the Employment Eligibility Requirements, Tribal/State Compact and/or Oneida Nation Gaming Ordinance as they pertain to the position. A temporary license or Gaming License issued by the Oneida Gaming Commission is required as a condition of employment and continuing employment within the Oneida Nation's Gaming Division.
18. A valid driver's license or occupational driver's license, reliable transportation, and insurance are required. Must obtain a Wisconsin driver's license or occupational driver's license within thirty (30) days of employment if applicant has an out-of-state driver's license. Must be authorized as eligible to operate a personal and Tribal vehicle under the Oneida Nation's Vehicle Driver Certification and Fleet Management Law prior to actual start date. Must maintain driver's eligibility as a condition of employment. This position follows the stricter Bureau of Indian Affairs Motor Vehicle Policy in order to be in compliance with the Nation's current Department of Interior funding agreement. PREFERRED QUALIFICATIONS:

1. An Associate Degree in Administrative Assistant or business-related degree from an accredited college or university.
2. One (1) year of lead or supervisory experience.
3. Knowledge of the Power 8 Purchase Management Module.
4. Knowledge of OnBase electronic filing system. MINIMUM QUALIFICATIONS:
