Nothing in this job description restricts St. Labre's right to assign or reassign duties and responsibilities to this job at any time.Continuously seeks improvement in areas of responsibility.Manages Executive Director's calendar and independently schedules appointments when appropriate.Screens incoming calls and correspondence and responds independently when appropriate, and drafts responses, as requested.Prepares memoranda outlining and explaining administrative procedures and policies, and monitors compliance.Attends and participates in Directors meetings and prepares records such as agendas, notices, and minutes.Participates in formulating and administering organization policies and developing long range goals and objectives.Reviews and analyzes activities, costs, operations, and forecast data to determine progress towards stated goals and objectives.Composes and prepares general and confidential correspondence, reports, and other complex documents.Creates and maintains database and spreadsheet files as necessary.Reviews and prepares fundraising media and materials under the guidance of the Executive Director.Administers the St. Labre Indian School Honor Scholarship Program; this requires distribution of Policies and Procedures and Applications to seven area high schools (Colstrip, Lame Deer, Northern Cheyenne, Lodge Grass, Plenty Coups, Hardin, and Billings Central), reviews submitted applications, and distributes scholarship checks to postsecondary education institution on behalf of scholarship recipients.Maintains and oversees office equipment maintenance contracts for St. Labre, Pretty Eagle, and St. Charles schools.Prepares and manages annual budgets for the General Office and Museum and Gift Shop.Supervises Receptionist, Mail Messenger, Museum Manager, Museum Attendant, and campus tours.Supervises and enhances operation of museum and gift shop.Provides support to all staff and reports to the Executive Director as necessary.Coordinates repairs to the Administration Building as needed and provides supplies to general office staff.Serves as Office Manager for Administration Building.Supervises use and scheduling of Guest Quarters. Ensures proper maintenance and upkeep to provide modest, yet comfortable, accommodations for visitors and guests.Supervises use and scheduling of vehicles under General Office; arranges for oil changes and other maintenance and repairs as needed.Prepares annual report (formerly Statement of Accountability) and submits for printing.Makes all necessary arrangements for Board meetings, including meeting rooms, meals, and overnight accommodations and processes payment for all of the above.As Assistant Secretary of the Board and Corporation, attends all board meetings and committee meetings, records minutes of the Board of Directors and Committee meetings, assures that all notices are duly given as provided for in the Bylaws, and, in general, performs all such other duties as may be assigned by the President or Secretary.As Board Assistant Secretary, serves as administrator of and provides support for users of the board management software.Prepares and submits annual filings with the Secretary of the State.Serves as a notary public for the organization.Ensures proper retention, organization and storage of corporate records.Provides support to St. Paul Mission Education Association Board of Directors as directed by St. Labre Executive Director. (Organizes meetings, meals, lodging; prepares agendas, minutes; etc.)SUPERVISORY RESPONSIBILITIESDirectly supervises 3-4 employees on a regular basis and visitor services during the summer months. Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws.
