The Role:This newly created role will provide administrative and operational support for the Investor Relations team and Chief Business Officer. This is an opportunity to create operational rhythms for the team – creating more structure, support, communications and processes for Investor Relations. In addition, this role will provide heavy schedule and travel coordination, along with detailed responsibilities around investor event planning for both the IR team and Chief Business Officer. The position requires coordination and communication within Moderna and other outside parties, working with information that is of a critical and confidential nature. A high degree of initiative, organization, self-direction and collaboration is required. The role requires professionalism and corporate presence, self-confidence, flexibility and adaptability. Excellent professional written and verbal communication is required given interface with key external investor stakeholders. Ability to effectively work in a fast-paced dynamic corporate environment is critical to success in the position. Previous experience with project coordination/management, operations support and administrative experience working with Investor Relations teams is a plus.Here's What You'll Do:Own day to day administrative operations for the Investor Relations team and Chief Business OfficerProactively manage calendars for the Head of Investor Relations and her small team.Manage expectations and deliverables with teams (e.g. due dates, prep meetings, information needed, etc.), and understand business priorities and challengesCoordinate extensive internal/external meetings with efficiency and detail; communicating clearly to explain conflicts and need to re-prioritizeManage travel arrangements(domestic/international)Identify and implement process improvements to help organize the team and create operational efficiencies/improvements. Eye for continuous improvement is key.Manage standing meetings for the team throughout organizationLeverage collaboration technology for meeting arrangements and be able to quickly troubleshoot common technical challenges. Tech savviness is requiredProactively support business development initiatives – i.e. coordinating site visits, travel, internal prep meetings, on-site logisticsAnalyze needs and problems to determine approach and priority in collaboration with executives, their teams and administrative colleagues across functionsSupport communication initiatives with external vendors, internal teams, etc.Schedule all team meetings and offsitesPrepare expense reports, as needed, and approve online expensesHere's What You'll Bring to the Table:A minimum of 5 years and ideally 8 years of directly relevant experience providing senior leader level administrative support in a corporate environment; a degree is desirable, but not required.
