Job Description Salary:
We are searching for a talented and motivated Special Events Associate to organize unforgettable events for the many clients who rent our facility for conferences, weddings, receptions and more throughout the year. You will be responsible for every part of event preparations, including fielding incoming requests, managing contract negotiations, coordinating event details with our Facility and Tech teams, serving as the lead event contact during an event, and evaluating success afterward.
As the Special Events Associate, you should be well-organized, detail-oriented and possess a sound knowledge of event management. Excellent written and verbal communication skills are important in this role, as our success depends on the relationships made beyond the event itself.
OBJECTIVE
The primary function of the Special Events Associate is to assist Rolling Hills Community Church in its mission to reach people for Christ by working to secure, organize, and facilitate community outside rental events.

EXPECTATIONS
- Live an exemplary life modeling the call, character, and competencies of a minister of the gospel of Jesus Christ.

- Be involved in the overall life of the church body by being a partner/member, actively participating in a community group, church-wide events, and functions.
- Ability to work nights and weekends as needed per event.
RESPONSIBILITIES
- Respond to all outside rental requests in a timely manner.
- Using church pricing guidelines, negotiate appropriate rates with respective usage of facilities.
- Be the main point of contact onsite with outside groups, vendors,
and inside staff before, during, and after the events, knowing the hours of work could be non-traditional.
- Coordinate approval process for the overall church calendar via Planning Center Online.
- Work with ministry teams, Lead Team, and outside groups to book and plan events within the structure of the church processes and church calendar.
- Offer practical direction, coordinating details and logistics, and solving problems that arise.
- Maintain a presence before and after major events to oversee set up/tear down and respond to needs that arise.
- Utilize facility scheduling software to review and approve event requests. Process check requests, contracts, and certificates of insurance when required.
- Maintain detailed records of expenditures, contracts, and correspondence.
- Occasional administrative duties, as needed, determined by the CFO.
QUALIFICATIONS
- Previous experience in Event Planning.
- Experience utilizing event management software is preferred.
