Cover letter is preferred. Essential Functions Job Summary
Manage the daily operations and logistics of the MS Biotechnology and MMI Ph.D. program. Responsible for maintaining updated records of student files, program files, recruitment, program budget, program management, and events. Manages and assists Ph.D. and MS Biotechnology graduate advisors of records and students with tracking academic processes, progress reports, and general support. Core Responsibilities Manages administrative aspects of the Ph.D. and Master's programs, including budget, program management, files, and events. Manages program and training grant budgets, ensuring program accounts remain within budget. Performs purchasing, travel arrangements, invoicing, and account reconciliations, along with tracking student appointments and funding. Provides academic support to the graduate programs, handles procedural matters related to graduate students in degree programs, and works closely with the department graduate advisors. Manages all administrative aspects of the Ph.D. and Master's programs including application files, degree audits, notice of awards, comprehensive exams, and student thesis paperwork. Assists students with graduate fellowship applications and processes supporting paperwork. Guides Master's and Ph.D. students' programs, including maintaining files for graduate faculty, academic programs, forms, appointments, funding, notice of awards, and graduation packets. Attends meetings with graduate advisors, student success, and recruitment. Coordinates and manages activities for community outreach, graduate program recruitment, student admissions, class registration, and course scheduling. Collaborates with faculty and college leadership on graduate curriculum and academic matters. Updates the graduate catalog. Assists GARs with strategic planning to expand and develop graduate programs and processes. Conducts research and data collection for annual reports and program assessments. Facilitates a program of professional development for graduate students within the program. Responsible for scholarship documentation. Acts as a representative of the department during meetings, membership associations, and conferences. Performs other duties as assigned. Required Qualifications Bachelor's degree from an accredited college or university. Six (6) years of experience in program management. Additional experience or education may substitute for education or experience on a one-for-one basis. Demonstrated independent decision-making and problem-solving ability. Computing and related office equipment and software. Excellent written and oral communication skills. Tact, diplomacy, and judgment are necessary in dealing with others. Develop and implement goals and objectives aligned with the mission of the program. Understanding of academic program management approaches and methods. Preferred Qualifications Experience working in higher education. Additional Information UTSA is a tobacco-free campus. This is a security-sensitive position. Working Environment: Office environment. Requires use of personal computing equipment, telephone, multi-functioning printer, and calculator. After-hours and weekend work is required on an occasional basis. Physical Demands: Sedentary work; sitting most of the time. Jobs are sedentary if walking and standing are required, only occasionally. Exerts up to 10 lbs. of force occasionally.
