Reporting directly to the Director of Operations (DoO), this position requires a high degree of organization, responsibility, and trustworthiness. Serving as the DoO's right-hand, the Operations Coordinator provides essential support in coordinating day-to-day operations, managing finances, maintaining accurate records, and facilitating effective communication within the school community. With a keen focus on operational efficiency and compliance, the Operations Coordinator contributes to the overall success and smooth functioning of the school, embodying professionalism, integrity, and a commitment to excellence in every aspect of their work.Essential FunctionsMain Office Duties:?Supports receiving and distributing student bus tickets.?Supports the main office by answering phones, taking messages, and relaying messages.?Supports sending and updating automatic call/text systems.?Supports updating the attendance system to accurately track student attendance, including latenesses, suspensions, and doctor's notes.Enrollment Duties:?Communicates regularly with staff to maintain up-to-date information about students and their families.?Assists with the onboarding of new students and families through registration support and student record upkeep.?Works collaboratively with staff to gather information regarding student transfer and execute residency verification if required.?Corresponds with applicants or students to request any missing or additional information needed for verificationDocument Collection:?Receives and collects enrollment verification and re-verification documentation from applicants or existing students?Ensures the submission of required documents in accordance with established deadlines and guidelines?Assists in the collection of household surveys?Physical files are accurate and organized?Ensures the following is completed, but not limited to: Social Security benefits, education verification, providing transcripts, incarceration documentation, 10-day no show drops, shot records?Develops and implements processes to support smooth operations of nurses.?Uploads documents to the database.Lunch Management?Supports DoO in the management of the National Lunch Program, including creating and maintaining lunch application records.?Supports the Operations Team to coordinate all logistics of meal distribution and orders.?Supports the Operations Team to prepare meal-related documents for annual audits and Department of Agriculture review (ECW, HACCP, MELs, Direct Certification) Human Resources ManagementFood Service?Coordinates meal data collection and maintains accurate reports for monthly submissions and audits.?Coordinates food service with DOOs for school trips, testing days, and other school events.Procurement:?Manages purchasing and vendor relationships for schools.?Creates requisitions and adds vendors to the system.?Supports staff in processing requisitions and enforces school ordering form procedures.?Reviews order forms with the Director of Operations (DoO).?Submits requisition requests within 48 hours and ensures quotes are acceptable with all details.?Maintains good relationships with vendors and follows up on payment with the DoO and finance team.?Emails invoices to our bill payment system.?Checks received goods to ensure everything has been received and maintains records of receiving.?Arranges School Transportation for Field TripsInventory Management:?Maintains and updates supply inventory, recommending restocks to the DoO.?Receives, inventories, and stores deliveries to ensure accurate accounting of all items.?Fulfills requests for supplies for teachers, staff, and events.?Places orders as approved by the Director of Operations.Events:?Plans and coordinates large-scale events for the school operations team.?Collaborates with Principals and Staff to address operational needs for Grade Level Events.General Responsibilities:?Complete administrative tasks promptly and thoroughly in accordance with provided deadlines.?Maintain knowledge of school policies and procedures and respond to emergency situations calmly and professionally.?Support teammates and the school community during arrival, lunch, dismissal, and special events.?Be accessible via phone and/or email during evenings and weekends to communicate with families, teammates, and school leaders.?Support and attend school-wide events and professional development sessions.?Perform additional tasks as assigned by School Leaders.?Support teammates and school at large during arrival, lunch, and dismissal as well as special events.?Identify areas of operational improvement and make recommendations for improvement to the DOO.?Works across all operations areas including technology, data analysis, compliance, and special projects.?Plans and coordinates large-scale events for the school operations team.?Provides seasonal support for school improvement initiatives.?Supports facilities and security management efforts.?Supports food service operations, including meal benefit applications, federal and state reimbursements, lunch bills, and compliance.?Oversees inventory and deployment systems for technology, mobile devices, and supplies.?Manages purchasing processes and vendor relationships for the schools.?Provides administrative support to the school operations team, such as ordering supplies, filing expense reports, organizing files and data, and planning team activities.?Completes other managerial and administrative tasks and special projects as assigned.?Enforces the school-wide, clearly defined systems, structures, and rules.?Develops and implements processes to support smooth operations of school business.?Ensures all necessary supplies are in good working condition and appropriately packedMain Office Duties:?Receive and distribute student bus tickets.?Supporting the main office by answering phones, taking messages, and relay messages.?Welcome all visitors and guests ensuring security protocols are followed.
