Busy Public Accounting Firm seeks Receptionist/Administrative Asst., who will be a crucial support staff member. They are the first point of contact for any visitors to our office or anyone contacting the firm, so being well-presented and polite are pivotal traits. The Receptionist/Administrative Asst., will also provide support to all team members, as required.
Job duties include the following although not limited to: Welcomes visitors by greeting them, in person or on the telephone, answering or referring inquiries. Answers the phone in a timely manner and direct calls to the correct person. Schedules and confirms appointments and maintain calendars. Inform other team members of visitors' arrivals or cancellations. Perform other clerical receptionist duties such as photocopying, scanning, and faxing. Copies, files, and maintains paper or electronic documents and records. Printing and compiling tax documents as needed. Communicates accurate information in firm fashion to clients and other recipients. Handles incoming and outgoing mail. Maintains organized and clean reception area, kitchen, and overall office space area. Create office supplies list and keep inventory of stock. Contributes to team effort by accomplishing related results as needed. Work OT as needed (heavy springtime work schedule). Must Have: Reliable/Dependable. Able to manage and work in a stressful environment at times. Technology Savvy – Experience with CRM software and proficient in Microsoft Suite. Strong organizational skills. Self-starter. Attention to detail required. Exceptional multitasker. Excellent communication skills. Courteous. Team player. Strong customer service skills. It is also imperative that a Receptionist/Administrative Asst. has a polite telephone manner and is always well presented. 3+ years customer service experience required. We are seeking a detail-oriented and organized Receptionist/Administrative Assistant to join our team. The ideal candidate will be responsible for providing exceptional customer service, performing various administrative tasks, and supporting office operations.
Duties:
- Greet and assist visitors in a professional and friendly manner
- Answer and direct phone calls promptly
- Perform clerical duties such as filing, photocopying, and scanning documents
- Manage front desk activities and maintain a tidy reception area
- Utilize computer skills for data entry and document preparation
- Assist with scheduling appointments and coordinating meetings
- Handle incoming and outgoing mail and packages
- Support office staff with administrative tasks as needed
Skills:
- Excellent customer service skills
- Previous experience in real estate administrative or similar field is a plus
- Proficiency in clerical tasks and front desk operations
- Strong computer literacy with knowledge of basic software applications
- Ability to perform data entry accurately and efficiently
- Exceptional organizational skills to manage multiple tasks effectively
- Experience as a medical receptionist is beneficial
- Familiarity with phone systems and call handling procedures
- Knowledge of QuickBooks or similar accounting software is advantageous
