Role Summary: The Executive Assistant position will support the President and members of the division leadership team (DLT) for Instrument and Enterprise Services. The successful candidate will provide a variety of standard administrative support functions and will be involved in and help coordinate team meetings, special projects and executive initiatives. They will be self-motivated, have excellent interpersonal skills, and the ability to build professional relationships. Maintains confidentiality and operates in the role with the highest of ethical standards and professionalism.
Responsibilities The function of the EA role is to provide the primary interface for the President and be the Lead Executive Assistant for the IES Division and provide a matrix coordination role across the Division's small group of EAs.
Collaborates and gets results in a sophisticated global organization during times of change, evolution, and transformation. Demonstrates an adaptive and flexible work style for effectively working across varied types of clients, senior level leaders, and front line team members that are geographically dispersed .  Expertly communicates with other key leaders, customers, and employees. Manages and maintains multiple executive calendars, including recurring meetings, prioritizing appropriately, and using good judgment in offering solutions to sophisticated scheduling and meeting planning. Proactively handles all methods of communication (emails, phone calls, etc.) Screens telephone and email inquiries, relays timely messages, redirects calls and responds to urgent inquiries from the corporate office, global sites, and internal/external partners over multiple time zones. Provides overall data management. Solicits needed data from multiple sources, organizes and compiles in effective formats to facilitate analysis and presentation. Establishes, updates and maintains files, inventories, records, etc. including paper, electronic, and other platforms as needed. Tracks and drives completion of key results, proactively following up on outstanding items. Coordinates challenging and multi-leg travel (accommodations, local transportation, and passport/visa requirements). Proactively anticipates potential travel issues and handles accordingly. Processes and supervises expenses in a timely manner. Performs with attention to detail. Anticipates potential changes or shifts in priorities and adjusts appropriately. Schedules and coordinates meetings. This includes, but is not limited to, attendee communications, venue management/coordination, audio/video set-up and management, catering, and program material preparation. Provides innovative, creative and time-tested methods and procedures for fostering continuing improvement to practices or processes. Upholds the strictest confidentiality on information gleamed as part of responsibilities. Handles highly confidential information and documents with discretion and confidentiality. Complete projects, special assignments, and other tasks and duties on time. Requirements: Education, Knowledge, Skills, Abilities A minimum of ten (10) years of administrative experience, preferably in a fast-paced environment supporting executive level. High school diploma. Shown expertise in Microsoft Office products, including Word, Excel, PowerPoint, Outlook and Teams. Fluency and comfort in making presentations using PowerPoint and Excel to manipulate pivot tables, create formulas, etc. Exceptional written and verbal communication skills. Shown to be trusted to handle confidential and critical information. Exercises good judgment and discretion with all information. Previous success at building strong organizational relationships and fostering collaboration. Proven to be trusted to handle confidential and sensitive information with the ability to exercise discretion and show good judgment. Proactive in identifying issues and solutions.
