Interim Senior AP Manager
Our client, a health care investment firm, is looking for an Interim Senior AP Manager to support their team in a variety of responsibilities during a time of company growth.
This opportunity is in a hybrid capacity, 2-3 days at their office in Menlo Park, CA. This role will have a duration of 3-4 months with potential to convert.
JOB DESCRIPTION:
Reporting to the Management Company Controller, this position will have broad responsibilities in the accounts payable process and accounting and reporting for the management company. We are a rapidly growing firm, so the breadth of responsibilities may evolve, but we expect that this role will include the following specific responsibilities:
RESPONSIBILITIES:
Accounts Payable
Manages day-to-day operations of Accounts Payable (AP)
Responsible for timely and complete processing of all AP transactions and ensuring accurate coding to General Ledger
Manage and train third-party outsourced AP staff in India. Need a resource to manage, oversee and troubleshoot the work product.?
Help develop, implement, and enforce policies and procedures
Drive process improvements in the AP area and a champion of change; this will be key in this role as there are many process and system improvements
Supervise the preparation of annual 1099 and other AP compliance reporting requirements
Own the vendor on-boarding procedures and the required tax forms
Create invoice processing workflows and assist with implementation of internal controls
Ensure that information is reviewed and challenged for accuracy and integrity and management of payables to improve working capital
Treasury
Manage the credit card payments
Initiate wires within the online banking portal for payables
Perform cash analysis of the bank accounts and determine required transfers to respective bank accounts
Credit Cards
Assist in resolving expense report issues and inquiries and credit card analysis utilizing data from Concur
Manage credit card reconciliation performed by outsourced accountants
Initiate credit card applications for new employees
Assist employees with credit card inquiries; download monthly credit card statements for the team
Review and process expense reports in Concur
Systems
Responsible for online system maintenance for Bill.com, Concur, Harvest, and QuickBooks
Manage the deal code creation in Quickbooks, Concur, and Harvest
Operations
Coordinate financial workflows and deliverables with third-party finance support
Assist in portfolio company billing preparation, receivable tracking, deal expenses, and quarterly analysis
Updating reconciliation schedules and support
Assisting in various ad-hoc projects and requests
QUALIFICATIONS:
5+ years of accounts payable experience and corporate accounting
Bachelor's degree in accounting or finance required; CPA preferred
Advanced Excel skills required (pivot tables, xlookup, conditional formatting, power query, data analysis/manipulation)
Proficiency in Bill, Concur, and QuickBooks preferred or similar systems (also plan to implement Sage Intacct in Q3.)
Experience creating reports and financial analysis
Comfortable working in a fluid environment; ability to multi-task and balance priorities
Strong analytical and excellent verbal and written communication skills, highly collaborative
Demonstrate the highest standards of ethics and integrity
PERSONALITY/SOFT SKILLS:
You are a team-oriented, self-starter who is comfortable working independently with strong communication skills.
COMPENSATION:
Determining compensation for this role (and others) at Vaco depends upon a wide array of factors including but not limited to the individual's skill sets, experience and training, licensure and certifications, office location and other geographic considerations, as well as other business and organizational needs. With that said, as required by local law, Vaco believes that the following salary range reasonably estimates the base compensation for an individual hired into this position in geographies that require salary range disclosure: $85 per hour. The individual may also be eligible for discretionary bonuses.
