Job summary
The Facilities Coordinator (FC) works directly with the Director of Facilities and each of the three individual property's Director of Engineering/Chief Engineer.The FC is responsible for providing full administrative support relating to the execution of their duties, responsibilities, and assigned projects.The FC will process purchase orders and receipts, liaise with vendors and suppliers, and facilitate inter-departmental communications.

Responsibilities
• Process purchase orders and receipts for supplies and materials• Liaise with vendors and suppliers• Facilitate inter-departmental communications• Validate, assign, and track work orders for corrective maintenance• Complete updates to company documents• Handle general office duties and responsibilities• Prepare and process department purchase orders• Execute office manager duties• Assist the Director of Facilities in the Reserve for Replacement (RFR) process• Aid in the execution and tracking of department projects• Prepare reports on ongoing projects• Manage the work order management system• Communicate company processes, policies, and standard operating procedures• Conduct research for parts requests• Manage assignments, initiatives, projects, and reports• Order and distribute materials and office supplies• Maintain SSI database• Review maintenance contracts and obtain additional bids• Handle and monitor building permits• Maintain energy consumption databases• Order tools and uniforms for associates
Requirements
• Proficient in MS Office products including Word, Excel, Powerpoint, Publisher, and Visio• Able to prioritize tasks and organize data, reports, and schedules• Previous experience working with general office equipment• High School diploma or GED required• Previous experience working in an entry-level administrative position
