The Office Manager provides day-to-day operational support for the Chair Team, the Student Services Team, and the Public Engagement Team in the History Department. The Office Manager will handle sensitive and confidential information which necessitates discretion, sound judgment, and strict confidentiality in all aspects of work. The individual in this role must be able to work independently in a rapidly changing environment while effectively addressing and managing significant competing priorities and duties. This position reports to the Chief Administrator.
Event Planning and Public Engagement 40% Make as-needed updates to the department website and portal, ensuring content aligns with department style guide.  Create and maintain profile pages for faculty, staff, graduate students, and postdocs. Work closely with CA and Chair to review and revise web portal content each summer. Schedule the annual department photoshoot and work with the Public Engagement Manager to update the History photo board. Work closely with the Public Engagement team to plan and execute the annual department picnic, undergraduate welcome event, and various other conferences and events. Work closely with Graduate Coordinator to assist with Graduate Recruitment. This includes securing hotel rooms and flights and working with various caterers. Assist with the planning and execution of the departments graduation events in consultation with the Public Engagement Team and relevant undergraduate and graduate committees. Attend the events and participate in set up and clean up. Office Management & Facilities Coordination - 30% Monitor, track, and ensure proper working order of office equipment, including A/V, copier/printers, utilities, kitchen appliances, staff workstation equipment (desks, phones, computers), etc. Manage inventory and organization of office and event supplies, promotional items, and equipment, and related expense reporting in coordination with the Chief Administrator (CA). Manage departmental rooms calendars. Coordinate bi-annual shredding events for the department. Work closely with CA to coordinate summer office moves and work directly with retiring faculty to facilitate office packing. In partnership with the CA, serve as the department's primary facilities contact by coordinating projects with the building facilities manager. Coordinate the distribution of mail and maintain the departments mail room. Serve as a member of the LSA Building Incident Response Team (BIRT).  Manage faculty, staff, and student building access via CCURE and issue all key request forms. Human Resources 20% Responsible for hiring, training, and managing the student workers who provide administrative support to the department. Coordinate student worker schedules each semester and keep track of hours worked to accurately approve timesheets. Manage applications for staff, lecturers, and students. Work closely with CA on staff/student candidate selection process and participate in the interviews as appropriate. Financial Support 10% Work closely with CA to develop and maintain budgets for department-sponsored events and student programming. Assist Michigan Journal of History with printing and shipping journals and web domain hosting. Assist Graduate Organization of Students in History (GOSH) with reimbursements and payments for regular meetings. Process honoraria requests for departmental events.
Demonstrated ability to establish priorities, multi-task, set and achieve goals and deadlines. Must be able to create and develop relationships with a diverse department population. Strong verbal and written communication skills with a customer service focus required.  Ability to work effectively in a team is required. Must be proficient in Microsoft Office and Google.
Previous administrative experience in higher education. Familiarity with College and University policies and procedures. 
The salary range for this position is $44,250 to $55,300. A higher salary may be considered for candidates with extensive experience or qualifications.
