The Michigan Center for Respiratory Virus Research and Response and the Department of Epidemiology at the University of Michigan School of Public Health is seeking an experienced, highly organized and motivated administrative staff member to join our dynamic team. The Center has a large portfolio of respiratory virus research studies in collaboration with the Centers for Disease Control and the National Institutes of Health, examining vaccine effectiveness for influenza, RSV and COVID-19 vaccines. This is an opportunity to join a collaborative team and support the faculty and staff who are implementing research studies with meaningful outcomes. This individual will work cooperatively and collaboratively with the Center Manager to ensure that the faculty leadership is supported and that Center operations are running smoothly.  The ideal candidate should have previous administrative experience working in an academic environment, with preference to familiarity with a research environment. This is a full-time position working in the Center under the direction of Center faculty leadership, Dr. Emily Martin and Dr. Arnold Monto and the Center Manager.
Calendar and Schedule Management: Provide calendar and time management support to Center Co-Directors.  On behalf of Center leadership, schedule meetings, create event/Doodle polls, manage calendar invitations, reserve and prepare meeting rooms, and arrange for equipment and other meeting needs. Act as liaison in zoom and other virtual platforms. Coordinate communication and correspondence for faculty leaders.
Faculty Administrative Support: Regularly update Center faculty CVs and NIH bio sketches as requested. Reach out to related faculty and request updated biosketches and other information. Support Center faculty and Center Manager with annual merit review document preparation.
Travel Coordination and Arrangements: Coordinate the development of itinerary flight schedules and reservations, ground transportation, hotel accommodations, conference registrations and other applicable arrangements and completion of travel expense reports. Manage PCard accounts and work with Center Manager to reconcile monthly. Coordinate staff and doctoral student reimbursement for conference travel.
Center Administrative Support: Order and track supplies, prepare requisitions, purchase orders, non-PO vouchers using the M-Pathways Procurement systems; Maintain accurate documentation of financial transactions for review by Center Manager. Assist Center Manager and Center Project Managers with administrative needs including creating documents, distributing daily mail and packages, and general administrative duties. Assist with manuscript preparation and tracking of publication process.
Event Coordination and Meeting Support: Plan and coordinate events which includes placing room reservation requests, arranging catering, reserving, setting up and confirming audio visual equipment, and on-site troubleshooting day of event problems. Help facilitate meetings/seminars, prepare/distribute agendas, minutes, track action and pending items and coordinate follow-up activities.
Coordinate Center Website : Maintain the Center's website including updating content and regular reviews of faculty affiliates. Follow up on questions received through online website submissions.
Other related tasks at the discretion of the Center Manager and Center Directors.
Bachelor's degree and 4+ years of administrative experience, or an equivalent combination of education and experience. Ability to handle multiple demands simultaneously.  Excellent communication skills, including strong proofing/editing skills; proven experience producing correspondence and documents.  Proven ability to prioritize, have exceptional organizational skills, meet deadlines and produce detailed and accurate work. Demonstrated ability to work successfully within a team and also independently and exercise good judgment and decision making. Excellent computer skills, including MS Word, Power Point, Excel, Google and calendaring platforms.
Experience working within an academic environment preferred, with considerable knowledge of hosting and travel procedures in an academic setting. Experience coordinating events, conferences, meetings, workshops, and programs. This is a term-limited appointment that will end one year from appointment start date, with the potential for an extension depending upon performance and available funding.
