12 Month Position Details: The Opportunity:
As the Administrative Assistant, you will perform complex secretarial and administrative duties in support of the School of Politics, Philosophy and Public Affairs. You will also serve as the first point of contact for the unit in the office on the Pullman campus. You will collaborate frequently with diverse faculty, staff, students, administrators, facilities, and the finance/budget team, maintain departmental emails, maintain department calendars, assist with course scheduling, purchasing, event coordination, update the department website and social media accounts, and maintain department records according to university policies. You will support the department advisor with administrative tasks including, but not limited to, enrolling students in courses, enrolling students in department minors and certificates, and other related work and assist the Chair in compiling necessary documents for annual review, tenure review, third-year review and promotion. Depending on your level of experience and education, the position will start at either an Administrative Assistant 1 or an Administrative Assistant 2. Required Qualifications: Administrative Assistant 1 (AA1):
A Bachelor's degree in business administration, public administration or closely allied field. Clerical or office work experience may be substituted for education on a year-for-year basis, provided at least one year included experience at the Clerk 3 level or above. Administrative Assistant 2 (AA2):
One year of experience as an Administrative Assistant 1 OR a Bachelor's degree in business administration, public administration, or closely allied field and two years of responsible office experience at the senior clerical level or higher. Clerical or office work experience may be substituted for education on a year-for-year basis. Graduate study may substitute for experience on a year for year basis. For all applications: Demonstrated proficiency with Microsoft Office applications such as Word, Excel, Outlook, and PowerPoint, or equivalent.
Preferred Qualifications for all applications: Demonstrated experience effectively handling confidential and sensitive information.
Demonstrated oral and written communication skills.
Experience providing administrative oversight and assistance to a senior administrator preferable in a higher education environment.
Experience using Workday.
Knowledge of Washington State University including experience with university policies and procedures.
Experience coordinating travel arrangements.
Professional experience working in a higher education environment.
Experience maintaining hardcopy and electronic records/files.

Monthly Salary: Administrative Assistant 1: Range 35 | $3,006 to $3,974 (A-M) Administrative Assistant 2: Range 37 | $3,145 to $4,174 (A-M)


Successful candidates typically begin at the beginning of the salary range and receive scheduled salary increment increases in accordance with WAC 357-28.

Overtime Eligibility: This position is overtime eligible.

FTE: 100% - PPPA seeks a full-time 12-month Administrative Assistant however we are also open to a 9-month position (Aug 16-May 15) or a 12-month position working 100% FTE during the academic year and 50% FTE during the 3-summer months (May 16-Aug 15).
