A Real Estate Public Relations Firm is looking for a proactive and highly organized Office and Project Manager to provide professional support to our Firm's Principal, Directors, and Project Managers. This individual will play a crucial role in coordinating ongoing public consultation projects and daily operations, ensuring smooth project execution and efficient office management.Leading the charge of daily operations, this individual will be able to work independently to meet priorities and further deliverables. The ideal candidate has experience in handling a wide range of administrative and executive support tasks and will be flexible in helping on a variety of duties including event planning, project research, and office management. The candidate has proven capabilities in multi-tasking, using initiative, prioritizing, maintaining effective working relationships, problem-solving, and has excellent time management skills.Responsibilities:Organize all aspects of the day-to-day office including managing office supplies and organizing equipment maintenance and repairGreets clients and visitors in person and on the phoneImplements and communicates office policiesOversee calendar, travel, itineraries, and communication for the PrincipalPrepares and schedules meetings, events, and company activitiesManaging appointments and meetings for the PrincipalEnsuring office technology is efficient and up-to-dateOrganize communication for the Principal from both internal and external requestsPrioritize conflicting schedules and manage timelines with efficiency and effective planningEnsure high-level assistance for the Firm's Principal, Directors, and Project Managers on multiple projects involving stakeholders, media, and development firmsTake minutes and disseminate information to the teamProofread reports and documents as requiredResearch media, historical data, community sponsorships, and developmental approval or rejections of multiple project initiativesEnsure database and records for both internal and external parties are up to dateAct in an administrative support role for multiple members of the team and office as a wholeAttend industry events, open houses, and public events when neededQualifications:Advanced research capabilitiesMethodical planning and attention to detailC-Level executive assistant experienceExpert in Microsoft Outlook, Word, Excel, and PowerPointStrong time management and problem-solving abilitiesExcellent communicator both verbal and written with experience in editing, preparing drafts, minutes, and agendasNaturally personable with a "can-do" attitude to bring to the teamAn understanding of real estate and developmentAbout Company:An innovative solutions provider dedicated to matching top Executive Assistants with top producing Real Estate professionals.
