Purpose Independently provide a full range of administrative assistance to the Middle and Upper School divisions in support of the quest to offer an academically challenging and globally minded liberal arts education to all Academy students. The Administrative Assistant must project a professional image through in-person, digital and telephone interaction with the Academy community and be able to set a high standard for excellence in working autonomously for and with the Head of Middle and Upper Schools and each member of the divisions.
Essential Duties Oversee all aspects of general office coordination for the Middle and Upper School Head and division members including correspondence, calendars, and files. Handle a wide variety of situations and maintain confidentiality while keeping essential personnel informed. Verify the accuracy of GPA calculations, transcript information, and honor roll specifications. Ensure accuracy of student attendance records, including the regular compilation of tardy and absence marks. Plan Middle and Upper School ceremonies and events, including but not limited to Orientation, Morning Meetings, field trips (bus reservations), Back-to-School nights, family conferences, Matriculation, Closings, and Convocation. Provide support to the Executive Assistant in charge of Commencement planning as needed. Provide administrative support to all Middle and Upper School search committees. Support Academic Scheduler by creating and maintaining course records, entering course requests, and updating schedules in the database. Support College Counselor with clerical and computer support. Support Head of Middle and Upper Schools, Dean of Students, and Director of Learning Support with filing, mailings, scheduling meetings, and correspondence. Support the Front Office and Reception desk and assist in covering staff absences. Maintain Upper School Policy Manual and Course Catalog. Take faculty emergency calls at home and arrange for substitute teachers, including supplying lesson plans, schedules and rosters. Supply all substitute and teacher absence information to the business office to ensure accurate payment to substitutes and accurate faculty absence records. Maintain Middle and Upper School spending records and receipts; process orders, reimbursements and online orders. Oversee Middle and Upper School end-of-year ordering. Oversee Pennsylvania Department of Education supply funding and spending via the NPIS website. Willingly volunteer to assist, support, or train other Administrative Assistants. Provide a working partnership with students, parents, and faculty with the sharing of information through telephone calls, emails, website postings, flyers and meetings. Additional divisional duties as assigned by the Head of Middle and Upper Schools. Arrive at 7:30 a.m. Some evenings and weekends required. Qualifications Associates degree or relevant college coursework recommended with over 5 years of administrative experience in an educational setting.
