Upper School Administrative Assistant (June 2024)
Reports To: Dr. George Scouten, Upper School Head & Asst. Head of School Work Schedule: 7:30-4:00 (with thirty-minute lunch); occasional evening responsibilities Position Summary Heathwood Hall Episcopal School is seeking an organized, diligent, affable, and skilled professional to help support the Upper School as its next Administrative Assistant. This is a non-exempt, full-time, benefits eligible position that requires daily interaction with other office personnel and frequent contact with students, parents, faculty, and administrators. In many ways the Upper School Administrative Assistant provides the first "face" of the Upper School.
The Upper School Administrative Assistant works closely with the Head of the Upper School and the Upper School administrative team to manage the Upper School calendar, track Upper School expenditures, greet and assist visitors and callers, help with student and faculty attendance, and assist with division events. This person facilitates the smooth running of the Upper School by performing the following duties:
Essential Functions Serve as the initial point of contact for students and parents in the Upper School Work closely with members of the Upper School, attending meetings, taking minutes, and following up on action items, including the production of our weekly faculty memo Maintain the Upper School calendar and reserve campus spaces Work with the Dean of Students to track student absences Work with the Academic Dean to track faculty absences and manage sub schedule and paperwork Track and record expenditures connected to the Upper School budget Assist with ordering annual capital expenditures Oversee and coordinate Upper School events (e.g., Back-to-School night), putting in maintenance tickets, arranging for decorations, and coordinating with catering or other outside vendors (e.g. diploma company). Help support or attend an occasional evening/weekend event Prepare outgoing mail and correspondence (both snail mail and electronic communication) Distribute incoming mail in the faculty workroom Order and maintain supplies and work with the tech team to ensure proper equipment maintenance Specific Job Skills Friendliness and a desire to assist others An appreciation for teenagers and an interest in helping them succeed Efficiency, organization, and attention to details The ability to prioritize and solve problems in an office where there can be frequent interruptions Proficiency with the Google Suite of tools and the ability to learn the school database (Administrator's Plus) and other necessary programs Good writing, editing and interpersonal communication skills Education and Experience Bachelor's degree required Minimum of three years' administrative experience or three years of work in a position(s) with transferable skills Working Conditions This job is almost exclusively indoors. The office is housed in the Robinson Center Upper School facilities used by grades 9-12. The school's campus is large and travel on foot across campus will occur multiple times per week.
