Learn and grow: You can further develop your administrative support skills as this position will provide support with procurement, purchase orders, payroll, invoices, and budgeting. Receive training in areas of opportunity and work with a supportive team of staff assistants and leadership. What you will do: The Staff Assistant position performs a variety of professional, technical, analytical, and administrative functions. Typical duties of the position may include the following: Type or transcribe correspondence, reports, and other material on general and technical subjects. Answer phones, respond to varied inquiries, explain policies and procedures, arrange appointments, and route incoming mail and correspondence. Arrange meetings, create and distribute agendas, notify members and other participants of meetings, attend meetings, record matters, and prepare minutes. Assist in preparing reports, statistical materials, or other involved materials, and make computations on materials assembled and analyze information. Balance, post, correct, and compose a variety of financial related documents such as purchase orders, budgets, or other records. Maintain financial database of contractual funds and audit accounting and tracking of fund expenditures. Review work done by others to check for correct spelling and grammar, ensure that City format policies are followed, and recommend revisions. Verify attendance, hours worked, and pay adjustments, and post information into timekeeping system. Use computer software programs including spreadsheets, word processing and data base systems to maintain files concerning a variety of projects specific to the administrator(s). High school graduate or GED and five years of progressively responsible clerical experience, including operating a personal computer and accurate data entry/transcription, or any combination of experience and training that demonstrate possession of the knowledge, skills, and abilities as listed, and ability to perform the essential job functions. Typing certificate required - 40 wpm with 95% accuracy rate; some assignments may require 60 wpm with 95% accuracy rate. Must pass a pre-employment background check. Some positions may require possession of an Oregon Driver license and have a driving record that meets the City of Salem's driving standards or alternate means of participating in meetings and coordinating work at other locations. The ability to remain flexible and anticipate needs while independently prioritizing and organizing work and meeting deadlines will be important in this fast-paced environment. Multi-tasking, high attention to detail, and problem solving will be important contributions in this position.
