Job summary
The Johns Hopkins Institute for Planetary Health is seeking an experienced Sr. Special Events CoordinatorThe coordinator will be responsible for planning and facilitating meetings, conferences, and eventsThe role requires building relationships and working in a fast-paced transdisciplinary environment
Job seniority: mid-to-senior level
Responsibilities
• Coordinate and plan various academic and programmatic events• Work closely with internal and external stakeholders• Oversee event logistics and ensure seamless execution of events• Confirm logistics, send reminders, and distribute materials for events• Draft and circulate event materials and prepare meeting data• Resolve scheduling conflicts and prioritize meeting requests• Select appropriate vendors and manage vendor relations• Coordinate location scheduling and resource allocation• Ensure safety and comfort of event attendees• Identify and coordinate technical requirements for events• Maintain event floor plans and room layouts• Create and manage event management database system• Generate reports and analytics related to event activities• Assist in developing and maintaining event-related policies and procedures• Support updates to the institute's website related to events• Perform other duties as assigned
Requirements
• Demonstrated ability to work independently and as part of a team• Excellent organizational, analytical, and problem-solving skills• Ability to work without direction, prioritize multiple tasks, and meet deadlines• Excellent computer literacy skills and ability to learn new software• Excellent writing and verbal communication skills• Experience with graphic design software like Adobe Illustrator• Strong interpersonal skills and ability to work in a fast-paced environment• Knowledge of event management systems• Strong Microsoft Office skills• Ability to lift up to 25 lbs
