REPORTS TO: Enrollment Quality & Compliance Manager
FLSA STATUS: Full-Time, Hourly, Non-Exempt

JOB SUMMARY: The Enrollment and Intake Specialist is responsible for providing high quality interview support to ensure child safety, positive impacts for youth, constructive and satisfying relationships between children and volunteers, and a strong sense of affiliation with BBBS on the part of volunteers. The position requires exceptional communication skills, the ability to swiftly process information, and a commitment to detailed documentation. This position will produce positive outcomes in the following areas: match closure rate, match retention rate, average match length, volunteer rematch rate, and customer satisfaction.
JOB RESPONSIBILITIES Conduct volunteer enrollments, including: individual orientations, interviews, and completion of any other enrollment processes. Utilize effective questioning techniques in interviewing to gauge commitment, compatibility, and adherence to child safety protocols. Conduct client enrollments including parent/child interviews, child safety education and enrollment processes. Assess and refer families for alternative or additional services as needed. Provide comprehensive written assessments and match support recommendations for volunteer and child participation in the program based upon assessments of each individual volunteer. Conduct volunteer and client reassessments/updates as indicated. Ensure a high-level of proficiency and skill in applying child safety and risk management knowledge, policies and procedures throughout all aspects of job function. Identify child safety issues for volunteers, children and their families. Call Child Protective Services to make Child Abuse Report (CAR) and file written report of suspected child abuse immediately upon receiving information. Review and follow-up on references as necessary to gain additional data to complete the assessment process. Identify and eliminate any barriers interfering with the completion of the enrollment process. Consult with other service delivery staff and/or supervisor as appropriate. Maintain accurate and timely records for each match according to standards and utilize technology to report, synthesize and analyze data. High degree of collaboration with other service delivery staff to ensure smooth transition among functions. Accommodate volunteer and family schedules. Knowledgeable about Matchforce and data entry is accurate and applicable to grant sources. All Matchforce queues are organized and up to date, closing records when appropriate. Actively contributing to meeting new match goals consistently. Meet and have an understanding of grants and programs. Understanding of the rematch process. Applied understanding of all program policies. Solid conflict resolution skills (internal and external conflicts). Consistently reporting pipeline needs to VEC, FEC and supervisor. Attend and support agency wide events as needed. Performs other duties as assigned by supervisor. JOB QUALIFICATIONS Bachelor's Degree preferred but not required. Must be able to read, write and speak Spanish proficiently. Experience with Non-profits highly preferred. Experience working with both child and adult populations; specific assessment, intake or interview experience preferred. Proficiency in Microsoft Office; including Word, Outlook, and Excel. Proficiency in data entry. Proficiency and/or experience with Chat GBT. Access to a reliable automobile; valid Driver's License and Automobile Insurance. Able to work independently exercising good judgment, decision making and problem solving skills Excellent oral and written communication skills reflecting solid customer service both in-person and telephone. Ability to manage a high volume of interviews and assessments efficiently. Demonstrate the ability to multitask, prioritize tasks, and maintain accuracy under pressure in a face-paced environment. Able to work with confidential information. Able to relate well in multicultural environments. Able to effectively collaborate with peers. Able to use time effectively and able to focus on details.
