Senior Office Assistant Location Minnesota : Nature of Work Under the general direction of the Public Works Management Team with direct supervision from the Administrative Aide/Analyst, provides customer contact and resolves complaints, performs general clerical and administrative work, and related work as assigned.
HOURS 8:00 a.m. to 4:30 p.m. Monday through Friday. Job Duties ESSENTIAL DUTIES Answers incoming phone calls for the Department, transferring calls to appropriate personnel or giving out routine information, as necessary. Answers requests for services and refers them to the proper source in the Department. Creates Service Requests and Work Orders on City GIS system. Performs data entry, generates reports, and maintains Department records that include filing and scanning of documents to comply with record retention guidelines. Creates Department media, both in print and digital, as needed by Management Team. Leads processing of bi-weekly Department payroll. Operates a variety of office machines and computer software programs including, but not limited to, Microsoft Word, Excel, Access, Publisher, Outlook, Fleetmate, PreCise, Adobe Creative Suite, and the City GIS system. Assists in the Department's social media participation, including the promotion of the Sweet Streets® branding. Leads event planning efforts for the Department, including, but not limited to, retirements and recurring annual events and celebrations. Provides clerical and administrative support to the Department. Delivers and receives mail and other documents to and from the Municipal Center daily. Orders supplies, equipment, and materials for the Department. Performs other duties as assigned. DESIRABLE KNOWLEDGE, SKILLS AND ABILITIES Ability to work effectively under pressure while accurately and competently handling multiple tasks simultaneously. Ability to organize and prioritize work to meet deadlines. Ability to consistently demonstrate initiative and follow-through with minimal direction, while following policies and procedures. Considerable knowledge of office practices and procedures and general clerical work. Ability to perform administrate/clerical work of average difficulty. Ability to communicate effectively and courteously, both orally and in writing, with the public, contractors and City staff. Ability to establish and maintain effective working relations with others. Ability to work independently and as a member of a team. Working knowledge of automated office environment equipment and applicable computer hardware, software, and web-based programs. Strong computer skills, specifically with Microsoft Office programs. Ability to maintain confidentiality. Ability to sit, talk, and listen for extended periods of time. Specific vision abilities required include close vision and the ability to adjust focus. Ability to occasionally lift and/or move up to 25 pounds. Qualifications MINIMUM QUALIFICATIONS A High School diploma or equivalent required. DESIRABLE TRAINING AND EXPERIENCE A combination of training and experience substantially equivalent to post-secondary education in office management, office procedures or related education. Two or more years of progressively responsible clerical experience with public contact and customer service. Municipal office experience. knowledge in Microsoft Office programs, graphic design, Adobe Illustrator/Photoshop, and web applications preferred. Spanish language proficiency or fluency desired. CERTIFICATION AND LICENSURE Must possess a valid Class D driver's license.
