The Partnerships Office at ORNL is seeking a highly motivated Administrative Assistant to support business needs and the Partnerships director. Under general supervision, you will be responsible for performing a full range of administrative functions to relieve the director of administrative details.
Duties / Responsibilities: Manage schedule for the Partnerships director using Outlook Calendar. Assist Partnerships director in managing daily communications by accessing and responding to internal and external email messages on the Partnerships director's behalf. Prepare and review a variety of written materials, including professional business letters for industry partners and DOE managers. Plan and coordinate on-site and off-site workshops, conferences, and related events. Schedule and coordinate meetings, including establishing priorities, resolving scheduling conflicts, and reserving conference rooms, vehicles, and other resources. Coordinate visits to ORNL, including coordinating travel according to ORNL guidelines, coordinating site access, and setting and managing agendas and seminars. Coordinate Technology Transfer director travel, including arrangements for transportation, lodging, and itineraries. Create requisitions and purchase orders based on appropriate ORNL guidelines. Serve as Partnerships training coordinator. Maintain DOE directives/standards and training requirements. Serve as Partnerships Records Management Officer. Create, implement, and maintain filing systems and databases, including legal documents.  Maintain a professional office atmosphere; greet and receive visitors (in person and over the phone) in a professional, courteous manner. Exercise discretions with confidential matters. Assist with special projects and assignments as needed. Basic Qualifications: A High School Diploma with a minimum of seven years of administrative support or office management experience. Proficiency with Microsoft Office (Teams, Outlook, Word, PowerPoint, and Excel). Excellent interpersonal and communications skills (verbal and written) and the ability to interact professionally and tactfully with people at all levels, both within and outside the laboratory. Demonstrated organizational skills and initiative. Ability to function well in a fast-paced environment, set priorities to accomplish multiple tasks within deadlines, and adapt to ever-changing needs. Preferred Qualifications: Associates or bachelor's degree in business, communication, or relevant field with at least five years of administrative support or office management experience. Working knowledge of ORNL policies and procedures; proficiency with ORNL Administrative Systems. Excellent interpersonal, written, and oral communication skills. Motivated self-starter with the ability to work independently and participate creatively in collaborative teams across the laboratory. This position will remain open for a minimum of 5 days after which it will close when a qualified candidate is identified and/or hired.
