Secretary - Transportation Department (4554) Location Little Rock, AR (Downtown CBD area) : JOB GOAL: To assist in the daily operation of the Little Rock School District Special Needs Student Transportation Unit. To assist the Director of Transportation with the support skills and knowledge necessary to enable him/her to accomplish his/her job goals.
EVALUATION: Performance of this job will be evaluated annually in accordance with provisions of the Board's Policy on Evaluation of Support Services Personnel.
TERMS OF EMPLOYMENT: RANGE 07 GRADE 804-12-month contract (245 days) Plus Benefits Package NOTE: Precise placement on the salary schedule will be determined based on experience. Salary
QUALIFICATIONS: High school diploma minimum. Two years or more of college preferred. Five years or more experience in public or private sector in bookkeeping, filing, receptionist and related office skills. Demonstrate competency in standard office administration programs such as Microsoft programs, including Word, Excel, PowerPoint and Access as well as other microcomputer applications. Use and update web-based systems and applications and internet tools for research. Demonstrated proficiency in use of standard office equipment, copier, facsimile machines, scanners and calculators. Evidence of professionalism in meeting and dealing with the public, in person and over the phone. Must have office management skills and supervisory aptitude. Evidence of strong oral and written communication skills. Ability to prepare all written correspondence for Director of Transportation related to any and disciplinary matters. Evidence of strong aptitude and demonstrated skills in meeting and dealing with people in a manner that reflects a positive image of the school district and the Transportation Department. ESSENTIAL DUTIES & RESPONSIBILITIES: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.
Acts as office receptionists and conducts this role in a positive, courteous and efficient manner. Assumes responsibility for receiving mail and distribution and ensuring its proper dissemination. Assists and coordinates with the Supply Center and Purchasing Department as needed to enhance accomplishments of the departments overall mission. Assist and maintain employees' pay and absences in Time Clock. Maintains all personnel and departmental files. Assumes responsibility for processing all newly employed transportation personnel, i.e., processing background checks, assembling personal information, completing insurance and teacher retirement paperwork, etc. Assumes responsibility for processing all Workers Compensation Claims. Orders and maintains appropriate stock of custodian supplies, office supplies, materials, equipment and blank forms for office and department use. Assumes responsibility for preparation of correspondence and reports generated by the Director and Special Needs Transportation Administration. Assists the Director in program and budget planning, preparation and submission of requisitions and monitors department budget to insure proper management. Prepares all billing for Special Needs Transportation, i.e., field trips, extended day runs, summer school and any special situation transportation needs. Maintains accurate records for travel reimbursement and provide accurate report of reimbursement to the Business Office for payment to employees. Responsible for preparing all written correspondence related to disciplinary matters. Performs other duties as assigned. Mental Functions, Physical Requirements, and Working Conditions: While performing the duties of this job, the employee is regularly required to sit, stand, walk, go up and down stairs, operate foot and hand controls, use a telephone and write. Occasionally the employee must lift and/or move up to twenty (20) or more pounds. This position requires accurate perceiving of sound, near and far vision, depth perception, handling and working with educational materials and/or objects, and providing oral information. Must have the ability to work for the duration of the daily contracted time period, and to be physically present and at assigned work, with only infrequent unexcused absences, during the contract year. Additional technical skills, knowledge, and abilities may be recommended by immediate supervisor and approved by the Human Resources Director.
