Position Title: Sales Administrative Assistant
Department: Destination Sales
Reports to: Director of Convention Sales
Status: Full-time, Salaried, Non-Exempt
Job Summary:
Provide administrative support for the Destination Sales Department through scheduling, meeting management, data entry and communication. This includes being a liaison between sales personnel and partner hotels. Provide both direct and indirect support in meeting sales performance goals.
Primary Responsibilities:
- Support Director of Meeting Sales, National Account Executives and Senior Account Executives
- Act as liaison between convention sales team and partner hotels; maintain hotel contact lists, provide system access and training
- Assist with sales activities including hotel and customer follow-up
- Take meeting minutes
- Enter sales leads into CRM system
- Schedule client site visits
- Make travel arrangements for clients and sales team
- Assist in preparing proposals, presentations and distributing sales materials
- Distribute mail and communications to remote sales team
- Provide reception coverage as needed
- Additional duties and projects as assigned
Requirements:
- 2+ years experience in administrative or inside sales support role
- Tourism/hospitality experience preferred
- Associate degree preferred but not required
- Excellent organizational, multi-tasking and time management skills
- Strong verbal, written and interpersonal communication abilities
- Customer service focused with professional etiquette
- Proficient with MS Office (Word, Excel, PowerPoint, Outlook)
- Database experience preferred
- Ability to learn industry-specific software like iDSS and FuturePace
- Valid driver's license
Additional Details:
- Hybrid remote/in-office schedule
- Attend offsite meetings and events as needed
- Limited travel, some evenings/weekends required
