Key Responsibilities: Front Desk Management:
Greet and welcome clients, visitors, and staff with a warm and professional demeanor. Handle incoming phone calls, route them to the appropriate individuals, or take accurate messages. Maintain a neat and organized reception area to reflect the professional image of the firm. Ensure all visitors sign in and follow the established security protocols. Administrative Support:
Assist attorneys and other team members with administrative tasks as needed. Manage appointment scheduling, conference room reservations, and meeting coordination. Handle incoming and outgoing mail, as well as courier services. Maintain and update the firm's client database and contact lists. Handle various clerical duties, such as photocopying, scanning, and filing documents. Client Service:
Provide exceptional customer service to clients, demonstrating a helpful and courteous attitude. Act as a resource for clients seeking general information about the firm's services and processes. Ensure client inquiries are directed to the appropriate personnel promptly and professionally. Communication and Collaboration:
Liaise effectively with internal staff to relay messages and facilitate smooth communication. Coordinate with other administrative staff to ensure efficient operations. Maintain open and positive communication with all team members. Miscellaneous Responsibilities:
Assist with organizing firm events, seminars, or social gatherings when necessary. Manage office supplies and place orders as needed. Occasionally assist with light bookkeeping tasks and expense tracking. Qualifications and Skills: High school diploma or equivalent; additional certifications or coursework in office administration is a plus. Proven experience as a receptionist or in a similar customer service role. Familiarity with legal terminology and law firm operations is advantageous. Exceptional verbal and written communication skills. Professional appearance and conduct. Strong organizational and multitasking abilities. Proficiency in using office equipment and computer software (e.g., Microsoft Office Suite). Ability to handle sensitive information with confidentiality and discretion.
