This position is responsible managing ID Badge and campus access programs which includes troubleshooting and recommending program improvements, ensuring program processes and procedures are up to date, ensuring OHSU staff are fully trained in all applicable procedures, and assisting with projects related to the badging and physical access programs as needed.
This position requires excellent verbal and written communication skills, attention to detail, prioritization abilities, accountability, and organization. This position must demonstrate a high level of customer service abilities, interpersonal skills, conflict resolution skills, empathy, confidentiality, and integrity.
Duties include:
Provide increased knowledge and clarity around the OHSU Campus Access and Commute Service (CACS) policies, rules, procedures, and programs related to parking to the OHSU community Writing new CACS procedures/processes and updating existing CACS procedures/processes Support existing internal and external communication channels Provide support for the OHSU ID Badge program Provide support for Visitor Management program Provide support for badge programs in Smartsheet, Jira, and Onguard This position reports to the Assistant Director in Campus Access and Commute Service.
Technical Consultation
Act as technical advisor for staff within the badging programs. Advise OHSU employees and the general public regarding procedures and physical access rules to ensure compliance with Public Safety and CACS policies. Draft, or review drafts, of program rules and manuals. Participate in program planning and implementation meetings for all badge and physical access related projects. Pull reports from the various systems, maintain user access and answer general questions from all OHSU customers.
Program Monitoring/Training
Develop and deliver training on badging program, visitor management program, and other physical access programs as required by Public Safety and CACS. Ensure training documentation remains up-to-date. Track and document when updated trainings have been completed by the required staff. Provide workflow documentation such as flow charts and process mapping, tracking/updating any policy changes, and tracking/updating procedural changes. Develop and implement change/transition plans to ensure new processes and procedures have continuity.
Operational Review:
Review badging and visitor management processes across University programs and Healthcare and Research departments to ensure compliance with Public Safety and CACS policy. Educate users on areas for improvement within their department to gain greater compliance.
Technical Assistance:
As needed, troubleshoot system idiosyncrasies when reported by program users; test system upgrades and provide recommendations, run system reports to provide requested user information. If needed, submit tickets to appropriate vendors for system issues outside of OHSU control. Install patches and upgrades to systems, conduct unit testing and coordinate user testing.
Department Support:
Serve as primary backup member for the Customer Service Center (CSC) team. Other duties as assigned.
A bachelor's degree in Business Administration, Management, Public Administration, or a field directly related to the position will substitute for two years of the required Three years of experience administering or coordinating parts or subsets of a project or program.  Compliance with Code of Conduct, Respect in the workplace and Applicable policies, procedures and agreements related to position, department or OHSU as a whole Must be able to perform the essential functions of the position with or without accommodation Knowledge or experience using Onguard and Smartsheet. Advanced MS Office skills and related software including Adobe CS. Facilitation and coordinating skills. Strong organizational and communication skills to coordinate projects. Writing/proofing copy for public and technical audience. This position works in a busy office environment with many interruptions and frequent interactions with people (customers and co-workers). The office space is fairly confined and offers little privacy. The employee must be able to deal with noise, multiple demands on his/her attention. The typical work schedule is Monday through Friday, requiring occasional overtime. It requires the ability to work outdoors, in all weather conditions. The employee must be able to deal with the occasional difficult customer. Daily schedule may be altered to accommodate department needs. This position requires the ability to stand or sit for up to 8 hours at time and entails heavy use of a personal computer and multi-line telephone. The employee must be able to speak clearly, demonstrate patience and understanding of customers' needs.
