Program Assistant 2 Location Albuquerque, NM (University Hts area) : Requisition ID req27873 Working Title Program Assistant 2 Position Grade 09 Position Summary The UNM Department of Psychiatry & Behavioral Sciences is seeking a Program Assistant 2 to support our Education Division, Psychiatry Residency Program. The Education Division of the Department administers the training programs of Psychiatry Residents, Psychiatry Fellowships, Psychology Interns, Medical Students, and Psychology Post-Docs. It is a very busy, dynamic atmosphere with a collaborative, hard-working and friendly team. The Program Assistant 2 supports all aspects of the General Psychiatry Residency Program. The assistant will provide administrative support for the Medical Education Program Specialist, Program Director, and Vice Chair of Education and serve as first point of contact for our 57 psychiatry residents and the faculty of the Education Division. Assistant will assist in planning, coordinating and implementing resident recruitment, orientation, graduation and other events. Job responsibilities include: organizing, coordinating, and managing regular Education events; recording and maintaining data of attendance for lectures and events; tracking, managing and entering resident and faculty evaluations; and creating, maintaining and editing didactic schedules. Position will compose, transcribe, edit and distribute correspondence, agendas and minutes for meetings; collect data and run reports; maintain files and distribute course materials. Will also record and report resident leave; manage Resident Education Fund; coordinate travel and process reimbursements. Will hold a UNM purchasing card. The Medical Education Program Assistant 2 will answer phones and respond to inquiries for the Education Division and provide support and back-up for other area functions. The successful candidate will have excellent communication and customer service skills, be a superb organizer and have exceptionally strong scheduling and computer skills. The Department of Psychiatry & Behavioral Sciences is a large, multi-division department within the UNM School of Medicine. Conditions of Employment Minimum Qualifications High school diploma or GED; at least 4 years of experience directly related to the duties and responsibilities specified.
Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.
Preferred Qualifications Experience working on multiple computer software applications and confident learning new systems Experience with complex scheduling Experience coordinating events, conferences, and/or educational programs Excellence using MS Outlook, Excel, Teams, SmartSheet Strong organizational skills and ability to handle multiple complex components of a program Ability to work independently and in a team environment, supporting fellow employees Able to communicate effectively, professionally, inclusively and in a timely manner, both in writing and verbally Excellence in prioritizing tasks on a daily, weekly and monthly basis Experience with and knowledge of UNM systems, software, policies and procedures Experience with or knowledge of medical education Additional Requirements Campus Health Sciences Center (HSC) - Albuquerque, NM Department Psych Education (451G) Employment Type Staff Staff Type Regular - Full-Time Term End Date Status Non-Exempt Pay Hourly: $17.56 - $22.89 Benefits Eligible This is a benefits eligible position.
