Our Location Energy Trust provides for a range of work location options, including remote, hybrid and in-office work. This position will represent Energy Trust in public settings and potentially at community events. We are open to candidates who live throughout Oregon and Washington. The Payroll and Travel & Expense Administrator would be expected to report to the office on a quarterly basis, at minimum.
What We're Looking For: The Payroll and Travel & Expense Administrator is responsible for the day-to-day operations of the Payroll administration performing a wide variety of record keeping and payroll processing activities, including, but not limited to, data entry, computing wage and overtime payments, calculating and recording payroll deductions, processing terminations, calculating and preparing general ledger entries, preparing and filing tax reports, and compliance with all established standards, policies, and processes.
This position will also be responsible for administering and maintaining the travel and expense platform, enforcing company policies and procedures, training staff, reviewing expense coding, and processing expense reports for AP.
The Payroll and Travel & Expense Administrator will play a leadership role in the implementation and training of new travel programs, projects, policies, and procedures. While this position directly reports to the Accounting Manager, this position will also take direction from, and provide support to, the Compliance Manager.
What You'll Do: Performs biweekly payroll, including all employee changes, reconciliations, and journal entries, ensuring an accurate and timely production of employee payrolls. Performs the day-to-day customer service function by answering and responding to internal and external employee requests and questions timely. Update employee data in ADP accurately including payroll/HR data entry into ADP on an ongoing basis. Review and support timecard management, along with grant reporting and compliance as needed. Prepare journals and other reports, including quarterly and yearly tax information. Manage annual workers' compensation audit. Manage annual 401k audit. Maintain complete and accurate payroll files and records according to documented internal controls and compliance requirements. Critically review and analyze federal, state, and local changes that may affect payroll and benefits and implement changes and systems as needed. Administer the employee travel and expense program and software platform, providing support, guidance and training to employees. Audit all employee expense reports to ensure compliance with company policies. Communicate issues, collaboratively solve intricate problems, recommend solutions, and generally act as the subject matter expert in a variety of issues related to payroll and travel expense reimbursements. Coordinate with Accounts Payable team to ensure timely payment of employee expense reports. Prepare documentation and audit schedules for external auditors and respond to related questions. Continuously monitor effectiveness of internal controls while fulfilling job duties. Document workflows and maintain up to date desk-level procedures as part of the internal control system. Pursue continuous improvement and drive efficiencies and automation in Energy Trust's payroll, travel and expense processes. Collaborate with peers in the Finance department to achieve team objectives. Provide strong customer service experience oriented towards providing support to a diverse workforce or customer base. What You'll Need: Bachelor's degree in Accounting, Business Administration, or equivalent educational experience, preferred. Minimum 5 years of payroll experience, preferably ADP Work Force Now. Minimum 3 years of experience with a travel and expense software platform. Strong mathematical and analytical skills. Strong auditing and reconciliation experience with a strong attention to detail. Understanding of fundamental HR and Payroll concepts and terminology. Advanced level proficiency in Excel, Word and Power Point. Ability to excel in a collaborative and innovative environment. Ability to work within specific deadlines and attention to detail Ability to maintain high standards of confidentiality. Excellent interpersonal and communication (verbal and written) skills. Starting compensation: $66,200- $82,000
