Job Summary: The Parts Department Counterperson assures proper control of the parts inventory and related administrative functions. This person is responsible for receiving and recording new parts inventory; maintaining parts databases; maintaining safe and secure environment. The parts counterperson also handles phone, electronic (email or other source) and face to face interaction with retail, wholesale customers as well as fellow employees. This position also involves local delivers and pick up of parts and equipment for the dealership while ensuring the delivery truck is in clean, safe, operable condition. This list is ILLUSTRATIVE ONLY and is not a comprehensive listing of all functions and tasks performed by incumbents of this class.)Duties and Responsibilities:The following is a representative list of the duties and responsibilities associated with this position:Promptly meet and assist technicians, retail guest, phone sales and fellow employees in a friendly, courteous manner.Accurately price parts and accessories using the proper pricing codes and transfer the information to the proper document and computer system.Answer all telephone calls promptly, courteously, and make every effort to satisfy the caller's inquiry.Check in and stock incoming inventory in the correct location. Create bin locations for new or overflow stock.Create and maintain merchandising displays to promote product sales.Stocks items by unpacking, arranging, and placing items in bins and on shelves; adjusting inventory system.Receives returned items by inspecting items; re-packing and re-shelving items; returning damaged and unused parts to supplier. Generate any required credit memos.Updates job knowledge by participating in educational opportunities; reading about new products; utilizing manufacturer online training. Off-site instructor lead training may be required.Assist Parts Manager in processing weekly stock orders and place daily parts orders.Process buyback returns as well as core returns to the manufacturer. Ensure that credits are received for returned parts, forward paperwork to accounting.Provide necessary information to the Warranty Department to allow prompt filing of parts warranties. i.e.: Look up part numbers for claims. Process warranty parts returns. Maintain warranty shelf by pulling scrap parts from the approved manufacturer list.Match purchase orders and invoices, approve, and forward to accounting office.Assist in preparing for annual parts inventory.Deliver & pick up parts as necessary.Assist in keeping parts department clean, safe and presentable.Work with Parts Manager to identify potential clients and complete sales calls as determined by the Parts Manager.Perform all duties as assigned by any member of management.Demonstrates behaviors consistent with the Company's Vision, Mission and Values in all interactions with customers, co-workers and suppliers.Adhere to all company policies, procedures and safety standards.Perform other duties as assigned.Physical Demands:The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
