Position: Operations Support Specialist (Detention)

Summary: This position is responsible for the day-to-day auditing of the detainment of our trucks and trailers at customer locations. This also includes all activities regarding customer billing, collections, and driver detention pay. 
Audit the dwell time of the tractor and trailers once the equipment departs a customer's facility. Document and upkeep customer's contracts provided by our sales team. Work with multiple customers simultaneously to obtain approvals prior to billing. Coordinate with the Corporate Billing department and sales directors to collect on outstanding AR detention balances. Assist drivers over the telephone with questions related to fuel, lumpers, and detention. Support other team members who are part of the Operations Support department as needed to cover workload when others are out of the office or on vacation. Ability to multi-task in a fast paced, demanding environment with professionalism. Identify ways to improve processes to maximize company value. Work closely with the Director of Operations support to ensure proper billing practices. Track and report on key performance indicators (KPI) for the Detention Department. Work with other department leaders to establish goals and align priorities. Must manage time effectively with minimum supervision. Working in an efficient manner while performing tasks with varying time requirements. Practice and observe safety rules and regulations and encourage others to always do so. Always conduct yourself in a manner that reflects a positive, professional image. Must maintain a professional appearance in a in accordance with dress code policies. Must be able to work with office equipment, utilizing computers for majority of tasks. Physical Requirements:
Capable of working extended hours, to include weekends, holidays, and various shifts (to include evening and night shifts) as necessary. Capable of sitting at a desk for extended periods of time and working on a computer. Capable of speaking, writing, and reading English well and possessing a good command of the language so that various types of communication may be conducted in English with people of various levels of education capabilities. Capable of hearing with or without correction, sufficiently to perceive normal speaking levels and receive detailed information through oral communication to facilitate meetings and work internal and external customers and colleagues by telephone and in person. Capable of visual acuity, with or without correction, sufficient to prepare and analyze data and figures, view a computer terminal, and read extensively. Position may involve kneeling, stooping, bending, pushing, lifting, carrying, and moving objects that can weigh up to 15 pounds. Education and Experience
Transportation industry experience strongly preferred. Billing and collection experience required. Proficient with Microsoft Office Suite. Broad understanding of transportation processes and standards. Excellent organizational skills required. Accuracy and attention to detail is essential. The ability to adapt to a changing environment. Working Environment and Conditions:
Must have the ability to work on more than one assignment at a time with frequent interruptions, changes and/or delays. Must be able to remain focused and work effectively, effectively, and professionally under such circumstances. Must be able to handle incoming requests for assistance via phone and in person while working on other tasks. Must remain professional considering challenging situations that may occur in the location.
