Full job description JOB SUMMARY: Provide clients and staff with high quality support in the areas of food and nutrition services. Assist with organizing, marketing, managing, and controlling documentation for food and nutrition initiatives and program requirements. Work directly with program staff to coordinate and evaluate all program services. Assist with program reports and other critical documentation areas.


POSITION REQUIREMENTS: JOB KNOWLEDGE High school diploma or GED required.
2-3 years of secretarial experience required with high level of proficiency.
Experience working with child nutrition program areas, including National School Lunch Program, School Breakfast Program, and Child and Adult Care Food Program.
Typing, proofreading, and writing proficiency required.
Experience in school/education service center environment with a proven record of success required.
Demonstrated competence in: handling detailed procedures and forms in an accurate and expedient manner, compiling state and federal documentation for compliance reports, and in providing exceptional customer service and telephone etiquette to a large number of people.
Ability to analyze and organize tasks in a logical sequence for expedient accomplishment.
Ability to exercise sound judgment by showing appropriate priority and caution in actions.
Ability to manage multiple projects in a fast-paced environment and work with minimal supervision.
Ability to use and learn a variety of computer programs and databases with speed and accuracy.
Demonstrated proficiency in the setup of technology and equipment that supports training and program sessions, including online trainings.
Proficiency with standard functions within electronic applications such as MS Office (word processing, electronic spreadsheets, presentation software), e-mail, web browsers, and databases.
Proficiency with computers (PCs and/or MACs) to include desktop management, file management and operations, and working in a network environment.
Exceptions to these requirements will be considered based on exemplary skills, training, and record of success.


PRODUCTS/OUTCOMES Assist with implementation of the child nutrition programs directed by the Texas Department of Agriculture.
Provide technical assistance to clients on program requirements.
Ensure that clients are aware of the services offered in regard to the areas of child nutrition programs.
Assist with the development of marketing plans and materials for child nutrition program areas.
Assist with coordinating and scheduling required trainings for child nutrition program areas.
Ensure that all technical and reporting requests are processed in a timely manner.
Understand client needs and relay requirements to appropriate staff.
Assist with designing services and products to address identified needs.
Assist in writing detailed documentation and provide updates to existing program website.
Assist in compiling and preparing reports and documentation as needed.
Assist with the operations of the Food & Nutrition Support Services Cooperative.
Prepare and file travel expense reports.
Coordinate travel arrangements.

SUPERVISION AND ORGANIZATION OF STAFF None.


BUDGET RESPONSIBILITY Be aware of and follow program guidelines of allowable costs when recommending use of program funds for expenditures for supplies, equipment, and facilities in area of assignment.


PHYSICAL/MENTAL DEMANDS & ENVIRONMENTAL FACTORS Tools/Equipment Used: Standard office equipment including personal computer and peripherals.
Posture: Prolonged sitting/standing; occasional bending/stooping, pushing/pulling, and twisting.
Motion: Repetitive hand motions including frequent keyboarding and use of mouse; occasional reaching.
Lifting: Occasional light lifting and carrying (less than 15 pounds).
Environment: Occasional travel; exposure to low or intense illumination; may serve as fire warden and act as contact in emergency situations; must be able to work in an open environment and take appropriate actions to maintain confidentiality.
Mental Demands: Work with frequent interruptions; maintain emotional control under stress.


ADDITIONAL REQUIREMENTS Maintain a good attendance record.
Work overtime as required on a scheduled or emergency basis.
Function within the policies and procedures of ESC-20.
Accept other responsibilities as assigned.
Dress and groom appropriately for ESC-20 work setting.
Travel independently as required to fulfill responsibilities of the position.
Serve at the will of the Executive Director.
Function within the requirements outlined in the ESC-20 Employee Handbook.


FUNDING This position is partially funded by federal funds from the United States Department of Agriculture and administered by Texas Department of Agriculture, and all duties associated with this position are allowable and allocable to the contract. Time and effort records for this position are in accordance with the requirements in the Office of Management and Budget (OMB) circulars.
This clerical position requires the following: Keyboarding-minimum 30 net w.p.m.
