Position Overview The Illinois Department of Public Health is seeking a highly motivated individual to serve as Office Specialist, Option 2, in the Lead and Asbestos Section and Licensing Unit. This position performs support functions for Office of Health Protection Programs in the central office.
Job Responsibilities 1. Under general direction, performs complex clerical and technical support functions for Office of Health Protection Lead and Asbestos Section Licensure Unit exercising initiative and judgment in the performance of duties.
As a paraprofessional, monitors licensure programs and services provided to licensees. Evaluates documents for licenses or registrations to determine approval for requirements according to rules and regulations, statutes and program policy and procedures. Monitors licensure processes and activities and assists with resolving technical program issues. Prepares letters, correspondence, emails, or legal documents. Processing, calculating and balancing fees. Researches and prepares documentation for Freedom of Information Act requests. Verifies continuing education course certificates as appropriate. Performs data-entry and issues licenses to qualified applicants. 2. Works as a licensure computer system coordinator between licensee and program staff.
Monitors licensure processes and activities and assists with resolving technical program issues. Responsible for assisting with implementing conversion of data systems. Assists program staff on maintaining and developing program databases. Trains new staff on the use, guidance, and operations of the licensing database. Review, maintain and distributes documents and ensure accuracy on the department's website. 3. Prepares letters, correspondence, emails, or legal documents.
Responds to calls from the general public explaining rules and regulations. Provides guidance for new, renewal, and online applications. Evaluates legal documents for deficiencies submitted by licensees. Maintains and updates the program policy and procedures as well as Internet resources. Job Responsibilities (cont) 4. Develops complex and multi-program (database, spreadsheet, and word processing) record reports for responses to Freedom of information requests, legal fines, daily fees, and monthly performance results.
5. Attends and completes mandatory knowledge-based and practical training required by the Office of Health Protection standard operating procedure and program requirements.
6. Performs other duties as required or assigned, which are reasonably within the scope of the duties enumerated above.
Minimum Qualifications Requires knowledge, skill and mental development equivalent to two years of secretarial/business college and one year of office experience or completion of high school and three years of office experience or three years of independent business experience. Requires ability to type accurately at 30 words per minute. Work Hours: Monday - Friday 8:30am to 5:00pm
