Position Summary:As the Office Manager/Administrative Officer for Lee's Summit CARES, you will play a pivotal role in maintaining the efficiency and effectiveness of our operations. Your responsibilities will extend beyond administrative support to include the coordination of activities across the organization, supervision of administrative staff, and management of our office environment. You will ensure compliance with company policies while fostering a supportive and productive workplace.
Major Functions:Operational Coordination: Coordinate activities across the company to ensure operational efficiency and compliance with company policy. This includes managing agendas, travel plans, and appointments for upper management.
Administrative Leadership: Supervise members of the administrative staff, distributing responsibilities to enhance team performance and ensure smooth day-to-day operations.
Communication Management: Manage communications through our website, email, and phone calls. Navigate inquiries, partnerships, and meeting schedules with professionalism and attention to detail. Provide empathetic and effective communication with partners, community members, and staff.
Financial and Bookkeeping Support: Support bookkeeping and budgeting procedures, create and update databases and records for financial information, personnel, and other data to ensure accurate reporting and financial management.
Supply Management: Track and replace office supplies as necessary to avoid interruptions in standard front office procedures. Ensure all materials needed for efficient operation are readily available.
Event Management: Coordinate logistics for community events, including parenting classes and bi-monthly Teen Advocacy Group (T.A.G.) programming. This involves scheduling, securing venues, and ensuring all logistical needs are met.  Reporting and Documentation: Submit reports, prepare proposals, and create presentations as needed to support organizational goals and communicate effectively with stakeholders.Collaborative Support: Assist colleagues and provide support whenever there is an opportunity to do so, promoting a culture of teamwork and mutual aid within the organization.
Knowledge and Critical Skills/Expertise:Education: Associate's degree or a minimum of 2 years related work experience required.
Skills: Strong leadership, organization, and office administration skills; proficiency in Google Sheets, Excel, QuickBooks, and other office management tools. Excellent communication, technology, and time management skills are essential.
Abilities: Ability to engage empathetically with diverse groups, manage a multi-line phone system, and use standard office equipment efficiently. Strong skills in customer service and database management.Preferred: Bilingual abilities are a plus.
Working Conditions:Open Monday through Thursday, 9 a.m. to 5 p.m., with remote work flexibility.
