Who we are looking for!
We are seeking a proactive, highly organized, and detail-oriented Office Manager to oversee the efficient functioning of our office operations. Summary:
Administrative tasks; from processing payments and maintaining
financial records to managing human resources practices, and overseeing general office
Activities. This role requires a proactive approach with a commitment to supporting a
dynamic team in a specialized market.
Roles and Responsibilities:
Financial Administration: Process payments accurately and promptly. Track of billing.
Customer Communication: Proactively message customers regarding the status of their webstore orders, including confirmations, shipping updates, and any necessary follow-up communications.
Inventory Management: Assist in tracking inventory.
Human Resources Support: Implement onsite basic HR practices, including managing employee records, assisting in the hiring process, and ensuring compliance with labor laws, with support from a fractional HR vendor.
Timekeeping: Manage timestation timecard systems to record employee hours accurately.
Paperwork Processing: Handle administrative documents and ensure they are correctly filed and readily accessible.
Office Management: Coordinate office operations, including supply management, equipment maintenance, and space organization.
Customer Service: Provide exemplary customer service, handling inquiries and resolving issues with professionalism and patience.
Team Collaboration: Work closely with other departments to support overall company operations.
Freight Management: Oversee and coordinate freight shipments, ensuring timely and cost-effective delivery of goods. Manage relationships with shipping vendors and address any shipping issues or delays to maintain customer satisfaction.
Qualifications:
Proven experience as an Office Manager or similar administrative role.
Strong proficiency in office management software (e.g Microsoft Office Suite or Google QuickBooks).
Excellent organizational and time management skills.
Ability to multitask and prioritize daily workload.
High level of discretion and confidentiality.
Exceptional interpersonal and communication skills.
A passion for vintage vehicles or experience in the automotive industry is a plus.
