Helpside is seeking an individual who loves working with people to solve problems. An individual who enjoys taking responsibility for their work and work environment. This individual will oversee the daily operations of the physical office. They will manage the front desk and will support company leaders with a variety of critical administrative tasks. They will be the first point of contact for all clients and visitors to the office. They will work closely with company leaders to advance company objectives. They will interface regularly with local small business owners and their employees. Duties/Responsibilities: Coordinate internal and external resources and cultivate relationships with vendors to ensure the office environment is clean and safe and promotes the company culture. Oversee day-to-day office activities as main point of contact in reception area, and keep management informed regularly via performance reports. Oversee visitors to the office and ensure a friendly personal experience. Common requests include: Payroll, individual paycheck, and document pick up. New employee onboarding support. Employee technology support. Spanish language support. Provide direct administrative support as needed, including scheduling appointments, meetings, and events; booking travel; and mailing and shipping packages. Manage the maintenance of office equipment for uninterrupted function, identify needs and acquire supplies, manage vendor relationships, and coordinate food deliveries and company lunches when requested. Assist the Client Account Management team with a variety of client services tasks which may include: Responding to client questions via email, chat, or phone. Providing support when team members are out of office. Performs other related duties as assigned. Fluent in Spanish Dynamic, personable, friendly, and professional. Strong written and verbal communication skills to produce reports, collaborate with company leaders, interact with clients, and manage vendor contracts. Organization and multitasking skills to complete a wide variety of tasks. Excellent interpersonal and customer service skills. Excellent organizational skills and attention to detail. Strong analytical and problem-solving skills. Proficient with Microsoft Office Suite or related software. Required Skills/Abilities: Fluent in Spanish Dynamic, personable, friendly, and professional. Strong written and verbal communication skills to produce reports, collaborate with company leaders, interact with clients, and manage vendor contracts. Organization and multitasking skills to complete a wide variety of tasks. Excellent interpersonal and customer service skills. Excellent organizational skills and attention to detail.
