Provides administrative support to the North America Leadership Team members. Multiple demands with the potential for short timelines may occur, therefore the role involves a high degree of agility, initiative, flexibility, analytical judgment, and organizational skills. Actual duties will vary according to assignment, but will include meeting planning, travel logistics, business management, budgets, and/or the like.
Essential Responsibilities/Scope of the Job Excellent organizational skills and the ability to multitask, managing multiple (sometimes conflicting) priorities Effectively manage calendars, schedules meetings, and meeting logistics for both internal and external parties upon requested Accurately and efficiently administer T&E for North America Leadership Team members as well as to the Head of Strategic Transformation Operations including domestic and international travel. Proactively book travel and identify services required based on the itinerary (e.g. ground transportation, venue contracts, etc.) Perform clerical duties as requested: maintain team files, printing, photocopying, faxing, and scanning when necessary as well as sign for FedEx and mail deliveries and routing to appropriate departments Greet visitors at the Morrisville office Ensure smooth and efficient flow of day-to-day operations in the Morrisville office Keep track of Morrisville office supplies, snacks, and drinks. Assist with on-site meetings, trainings when needed (conference room reservations, catering, etc) Serve as a liaison between Morrisville Property Facilities team and Sobi Office Manager and IT Manager Partner with Morrisville Admin Staff to ensure continuous office coverage and serve as back-ups to each other Alert employees of any Morrisville building related information Must be in the Morrisville office during working hours (8:00am – 5:00pm), Monday through Thursday with remote option on Fridays. Qualifications Excellent verbal and written communication skills Strong interpersonal skills essential Solid decision-making skills Demonstrated teamwork and partnering across boundaries Ability to work proactively, proficiently and independently in a global business environment Ability to exercise judgment, make decisions, and take action to complete assignments. Proficiency in, Microsoft Office packages including MS Outlook, Word, Excel, PowerPoint Ability to multi-task required 3 years' experience in a similar role Willingness to gain additional skill sets is essential Understanding of the pharmaceutical/biotech preferred, previous experience in Rare Disease a plus Notary Public Certification a plus Additional Information All Sobi employees need to demonstrate behaviors in line with Sobi's core values: Care, Ambition, Urgency, Ownership and Partnership.
