Job Description: As an Office Assistant at Historic Hideaways, you will play a vital role in ensuring the smooth operation of our office and providing essential support to our team. Your responsibilities will encompass various administrative tasks aimed at enhancing efficiency and delivering outstanding service to our customers.
Key Responsibilities: Administrative Support: Assist with day-to-day administrative tasks, including managing correspondence, scheduling appointments, and organizing documents.
Customer Service: Serve as a friendly and knowledgeable point of contact for clients, addressing inquiries via phone, email, and in-person interactions.
Reservation Management: Assist in processing reservations, including booking accommodations, coordinating transportation, and confirming itinerary details.
Database Maintenance: Maintain accurate records of client information, reservations, and financial transactions using our database management system.
Office Organization: Ensure the office space is tidy and well-maintained, including stocking supplies and managing inventory.
Assist Team Members: Collaborate with colleagues to support various projects and initiatives, lending a hand wherever necessary to ensure successful outcomes.
Ad Hoc Tasks: Handle miscellaneous tasks and special projects as assigned by management, demonstrating flexibility and willingness to contribute to the overall success of the organization.
Requirements: High school diploma or equivalent; additional education or training in office administration is a plus. Proven experience in an administrative role or similar capacity. Excellent communication skills, both verbal and written, with a professional and courteous demeanor. Strong organizational skills and attention to detail, with the ability to prioritize tasks effectively. Proficiency in Microsoft Office suite (Word, Excel, Outlook) and familiarity with database management systems.
