Position: Office Administrator

Supervisor: Sr. Coordinator, Human Resources

Location: Washington, DC (On-site)

Status: Full-time, Not Exempt from Overtime, Temporary (through December 31, 2024)

ABOUT YOU:

The Office Administrator supports a variety of needs for the organization, including DC office operations, staff and committee meetings, and special projects. Reporting to the Coordinator of Sr. Human Resources, the Office Administrator will work with and support the members of the Operations team and other team members in the DC office.

ESSENTIAL JOB FUNCTIONS:

Support DC office operations (50%)
Process daily incoming and outgoing mail and shipments
Run errands and make deliveries around the office or to external parties
Monitor office inventory and order supplies when needed
Maintain an organized office environment, including a clean and organized kitchen, supply closet, copier room, IT closet, and meeting spaces
Interface with the office building management and inform DC staff about building updates
Manage floor conference room scheduling
Answers the general phone line and routes messages to the appropriate internal party

Support staff and committee meetings, events, and special projects (50%)
Help plan and execute office gatherings (all staff lunches, holiday parties, etc.)
Provide day-of meeting support by anticipating and meeting participant needs, including set up/tear down of food and beverage
Coordinate inventory shipping and receiving for staff attending external conferences
Coordinate the reorganization and cleanout of in-office and garage storage spaces, ensuring efficient utilization of resources and easy access to materials and supplies. Assist with document digitization and file management, following the document retention policy
Support special IT projects as needed

SUPERVISORY RESPONSIBILITIES:

This position will not have direct employee supervisory responsibilities.

PHYSICAL DEMANDS / TRAVEL REQUIREMENTS:

Physical requirements include the ability to work from a desk at a computer for prolonged periods of time; regular lifting/carrying of up to 25 pounds. Subject to sitting, standing, reaching, walking, twisting, and kneeling to perform the essential functions. This position may require infrequent overnight travel within the US, up to 5% of time.

WORK LOCATION:

This is an in-person role and requires presence in the downtown Washington, DC office to complete essential job functions.

EDUCATION/EXPERIENCE REQUIREMENTS:
At least 1 year of experience in an office setting
Proficiency with Microsoft 365 (particularly Outlook, Word, Excel and PowerPoint)
Proficiency with Zoom
Previous experience with Salesforce a plus

QUALIFICATIONS/PERSONAL CHARACTERISTICS:

Excellent communications skill, including speaking, writing, and active listening
Great customer service skill, including a personable and positive attitude
A sound work ethic with the ability to act both independently and as part of a team
Aptitude for technology and resourcefulness in seeking solutions
Demonstrated ability to be a problem solver and a utility player
Positive attitude and high energy, enjoyment working cooperatively in a team environment
Keen attention to detail
Direct experience in the forestry, natural resources, or education sectors preferred
Spanish or French language skills a plus

The salary range for this position is $50,000 to $58,000; the successful candidate's actual salary will be dependent upon a number of factors, including geography, education/training, experience, time-in-role, management qualifications (as applicable) and skillset.
