Position Summary:
As a key member of our Meetings and Events team, the Meetings Coordinator plays a pivotal role in supporting a variety of meetings and events. This role requires strong administrative skills, meticulous attention to detail, and exceptional writing and proofreading abilities. The ideal candidate will maintain a high level of professionalism in all communications and be adept at working both in person and virtually with a wide range of contacts.
Key Responsibilities:
- Produce, design, edit, and proofread meeting-related documents with impeccable quality control.
- Create and manage content on meeting websites and apps.
- Proofread meeting materials with a keen eye for detail and handle confidential information with discretion.
- Adapt to new technologies to enhance departmental efficiency.
- Assist in planning and coordinating logistics for live and virtual meetings, including committee meetings, conferences, webinars, workshops, and seminars.
- Oversee logistics and food and beverage arrangements for internal meetings.
- Manage event registration and attendee tracking.
- Perform other duties as assigned.
Qualifications:
- An associate degree is required; a bachelor's degree is preferred. Relevant experience may substitute for education.
- 1-4 years of experience in meeting or event planning is preferred.
- Excellent communication and writing skills.
- Exceptional attention to detail.
- Strong organizational skills and the ability to manage multiple projects simultaneously.
- Proficiency in Microsoft Office Suite and Zoom.
- Experience with web-based applications and new technologies.
Travel Requirements:
- Occasional travel (3-4 times per year) may be required for this position.
Work Arrangement:
- The Meetings Coordinator may be eligible for a hybrid remote work arrangement after successfully completing a training/probationary period.
