Job Title: Program Manager
Job Summary:
As a Program Manager, you'll serve as the primary point of contact for our valued clients, spearheading various programs with a focus on corporate meetings and events. Your role entails strategic planning, objective delivery, logistical execution, and unparalleled customer service. Collaborating closely with clients, you'll ensure program objectives are met and exceeded while maintaining exceptional levels of satisfaction.
Scope:
The scope of this role varies depending on assigned accounts and programs, each demanding unique attention and tailored solutions. While you may oversee direct reports, you won't have budgetary responsibilities.
Reporting and Working Relationships:
You'll report to either the Operations Director or Operations Manager and maintain crucial relationships with clients and third-party suppliers. Your interactions will extend to various internal departments, fostering collaboration across the organization.
Primary Responsibilities:
50%:
Establish streamlined workflows with clients and suppliers to manage program details efficiently.
Utilize our business program management system for seamless program execution.
Coordinate all aspects of programs, including hotel arrangements, destination management, and air travel.
Facilitate clear communication between clients and IT support for web-related requirements.
Produce detailed program itineraries and agendas, ensuring all specifics and requirements are outlined.
Oversee final billing processes, maintaining accuracy and compliance with company and client policies.
25%:
Maintain accurate program forecasting and financial updates in our management systems.
Manage program budgets and review all related billing for accuracy.
Provide timely expense tracking and reporting to clients, ensuring transparency and alignment.
Initiate and reconcile supplier payments as needed.

Foster proactive and positive communication with clients to understand expectations and ensure satisfaction.
Act as a lead, effectively communicating program requirements to the team.
Conduct regular status meetings with clients and stakeholders throughout program lifecycles.
Manage VIP projects and logistics when required, showcasing negotiation expertise to drive cost savings.
Provide custom reporting and documents as requested by clients.
Other Responsibilities:
Undertake special projects as assigned, demonstrating flexibility and adaptability.
Travel to various destinations worldwide for client site inspections and program operations.
Stay updated on industry standards and trends relevant to your responsibilities.
Qualifications:
Bachelor's degree or equivalent experience, with at least five years in event or meeting management; experience in pharmaceutical meeting planning is desirable.
Strong knowledge of domestic destinations; international destination knowledge is a plus.
Proven track record in developing and maintaining key client and supplier relationships.
Aptitude for technology and analytical skills; experience with Cvent is preferred.
Willingness to travel up to 30% of the time.
Proficiency in program/event management and budget maintenance.
Ability to effectively manage multiple projects and demands simultaneously.
CMP designation is advantageous.
