TITLE:                                    Manager of Operations
REPORTS TO:                     Senior Director of Operations & Programming
FLSA STATUS:                    Exempt PRIMARY FUNCTION :
The Manager of Operations provides administrative support to the Director. The Manager of Operations supports Clubs throughout the Metro Toledo area for training, program development, data management, professional development, and safety. The Manager of Operations plays a crucial role in helping coordinate and drive organization-wide initiatives by utilizing systems for planning, organizing, and progress monitoring. The Manager of Operations also manages essential operations functions and other compliance-related functions. The Manager of Operations must consistently show professionalism and maintain confidentiality.

DIRECT REPORTS: N/A ESSENTIAL DUTIES AND RESPONSIBILITIES: Provide administrative support to the Senior Director of Operations & Programming. Senior Director of Operations & Programming Help ensure the progress of the Senior Director of Operations & Programming initiatives by regularly scheduling meetings and implementing systems for planning and organizing. Support the maintenance and implementation of key operations systems and platforms (e.g., MyClubHub, KidTrax). Create documents, presentations, and meeting materials. Support the development of operating policies and procedures, crisis prevention, preparation, management manuals, and other required procedural materials. Produce data, notably for membership and ADA, for submission of data-related reporting to BGCA and other entities as designed; this includes NYOI, KPIs, and BGCA Annual Report. Play a key role with the Senior Leadership Team in planning and organizing meetings and initiatives. Implement planning and project management processes that support the successful execution of operations initiatives as directed by the Senior Director of Operations & Programming. Guide efforts to check and understand our local regulations and opportunities related to program expansion and compliance efforts. Partner with the Development team to support key funding initiatives and grant opportunities. Lead efforts to establish the most effective and impactful systems and processes; collaborate with administrative leaders to guide the rollout and implementation of new methods and systems. Collaborate with the Senior Leadership Team to drive initiatives as assigned by the Senior Director of Operations & Programming. Serve on committees and participate with key community groups to foster collaboration with strategic partners and relevant regulatory groups. Partner with the Director of Programs and Finance Department to ensure accurate data is entered and that proper notations are recorded and approved for submission. Demonstrate ability to organize, direct, and coordinate operations in personnel supervision, the recruitment and retention of key personnel, facilities management, and budget management. Effective communication skills, both verbal and written. Ability to manage multiple tasks and develop solutions to problems with limited supervision. Other duties as assigned by the Senior Director of Operations & Programming. POSITION REQUIREMENTS: 3-5 years of progressively responsible work experience in management or administration is needed. Effective meeting management abilities, including establishing an agenda and objectives goals, identifying necessary participants and preparation, documenting essential talks, and managing and following up. Capability to keep an elevated level of confidentiality; ability to establish constructive working relationships; capacity to garner the respect and trust of staff, members, families, and other essential stakeholders. Capability to operate in a setting characterized by conflicting demands, project management, effective prioritization, and concurrent progress on numerous goals. Meet internal and external customer requirements in a manner that gives customer satisfaction and outcomes. Must serve as a technology advocate and understand the tools available and best methods to ensure utilization of technology is promoted at every opportunity. Must be able to inspire trust and motivate virtual teams using communication effective communication, developmental, and interpersonal skills people skills. PHYSICAL & MENTAL REQUIREMENTS/WORK ENVIRONMENT: This is a full-time, exempt position. Hours are typically Monday through Friday and may include evenings and weekends. The physical demands and characteristics of the work environment described here are representative of those occurring in the performance of this job's essential functions. Physical requirements include sight, hearing, and standing for extended periods. Must be physically able to interact and take part in all Club functions. While performing the essential functions of this job, the employee is often needed to stand, walk, sit, use hands to finger, handle, or feel objects, tools, or controls, and talk or hear. The employee must occasionally reach with hands and arms and stoop, kneel, crouch, or crawl. The employee must occasionally lift and/or move up to 50 pounds.
