Job Description and Duties

As a Legal Support Supervisor I you will have the opportunity to: Gather pertinent information for interoffice reports and memorandums on behalf of high-level executives such as the Chief Counsel, Deputy Chief Counsel, and Assistant Chief Counsels, the incumbent assumes responsibility for planning and actively participating in a diverse array of administrative, management, and unit meetings, as well as required trainings Serve as a primary point of contact for external communication, engaging with the public via phone and email to address inquiries and provide assistance as needed Coordinate, manage, and oversee the assignments and workload of various personnel, such as SLTs, Legal Secretaries, Student Assistants, Legal Interns, and other support staff Assume responsibility for ensuring staff proficiency by conducting comprehensive training sessions on office policies and procedures, while also meticulously reviewing staff performance Assume a central role in managing all aspects of OLC's purchasing, procurements, requisitions, and related financial planning activities Desirable Qualifications We Look For: The ideal candidate for the Legal Support Supervisor I position should demonstrate flexibility and adaptability, crucial traits for handling diverse tasks and changing priorities effectively Legal expertise in typing and clerical work within a legal context is paramount, including preparing legal documents such as correspondence, petitions, briefs, motions, and depositions Pays meticulous attention to detail ensuring accuracy, completeness, and proper formatting of legal documents and correspondence Organizational skills are essential for managing records, files, and databases, prioritizing tasks effectively, and handling multiple assignments efficiently Communication skills, both verbal and written, along with proficiency in grammar, punctuation, and legal filing requirements, are indispensable Exhibits professionalism, integrity, and discretion in handling sensitive and confidential information, while also being able to work effectively in a team environment and independently Experience in a Supervisor/Lead Role Experience providing executive/ legal office support Experience in legal clerical work Administrative Experience/Office Management experience Training/Facilitation Experience Extensive experience w/ Microsoft Suite, and Adobe Experience with report writing and data analysis You will find additional information about the job in the Duty Statement .

Special Requirements
The position(s) require(s) a(n) Typing Certificate. You will be required to provide a copy of your certificate prior to being hired. The position(s) require(s) the ability to type at a minimum speed as designated on the Class Specifications (link available in the additional documentation section). You must obtain a valid typing certificate confirming your ability to meet the minimum typing speed, prior to being hired. Additional information regarding acceptable typing tests is available at the website.

A typing certification is required when applicants apply for state civil service typing positions. State departments will honor typing certificates issued within the last four years and certified from a five (5) minute typing test that meets the CalHR requirements, with a minimum of 40 WPM (words per minute). Typing certificates issued by the Internet or Employment Agencies, and Typing Certificates issued for a typing test under five (5) minutes are not acceptable.
The California Department of Human Resources has approved certificates from the following entities:
Adult Education Centers Business schools or colleges Any State Agency/Department Skills and Business Education Centers The Employment Development Department's (EDD) One-Stop Career Centers may offer free typing tests (for a location near you, visit EDD's website) A Statement of Qualifications (SOQ) is required for the hiring manager's review. Applications submitted without an SOQ may be disqualified.
The SOQ should be no more than 2 page(s) in length, be clearly written and well-organized, contain no more than (five) grammatical and spelling errors, and Arial font size 12.
