Description
Lathrop GPM, one of the nation's leading law firms, has an immediate opening for an experienced Legal Administrative Assistant in our Kansas City, MO location. This position will be supporting both our Financial Services and Litigation and Dispute Resolutions teams. The position is hybrid and will work two days a week in our Kansas City Office and three days from a home office.

DUTIES AND RESPONSIBILITIES Correspondence: • Prepares correspondence and other documents in a timely and accurate manner
• Anticipates the needs of timekeepers - drafts routine correspondence and documents for review and approval. Anticipates obstacles, repercussions, and stumbling blocks
• Proofreads documents prepared by timekeepers for spelling, punctuation, grammar, consistency, and accuracy. Makes suggestions/corrections as necessary
Client Support: • Manages all aspects of client and general files
• Opens new files, requests conflict checks
• Keeps all client files up to date and organized
• Closes and organizes files per the Firm's document retention policy
• Maintains client information and assists timekeepers in marketing efforts
Communication: • Provides high level client service in all communications
• Effectively communicates with timekeepers
• Handles all aspects of incoming mail (review, distribute, prioritize, docket/calendar/save to document management system)
Client Billing: • Enters time for timekeepers, if requested
• Process proformas/bills, including proofing and reviewing to ensure accuracy and consistency with Lathrop GPM standards
General Administrative Support: • Reminds timekeepers of upcoming projects, meetings, and due dates
• Gathers, coordinates, and prepares necessary materials/files for meetings, depositions, hearings, travel, etc. providing those materials to timekeepers
• Schedules internal and external meeting rooms and set-up needs
• Coordinates food/beverage needs and agenda/itinerary preparation, if appropriate
Requirements
Required:
• Associate's Degree or equivalent years' related experience
• Minimum 3 years' experience as a Legal Administrative Assistant within a law firm and/or corporate environment
• Excellent interpersonal, written, and verbal communication and client service skills
• Strong attention to detail and organizational skills
• Strong computer skills including proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook)
• Ability to work independently and in a team environment
• Strong problem solving and decision-making skills
• Ability to work well under pressure
• Interest in continued professional and personal development
Preferred: • Knowledge of ECF filings in various state and federal courts, both trial and appellate.
• Experience with a document management system (iManage experience preferred)
• Experience in a teaming environment (Big Hand experience preferred)
• Expense reimbursement software (Chrome River preferred)
• Intapp (Intake and Conflict Resolution) experience
