We are seeking an experienced and knowledgeable Flight Operations Coordinator (Part 135 Dispatcher) to join our expanding Systems Operations Control team. As we rapidly grow our fleet, we need detail-oriented professionals who can effectively support our flight crews and Part 119 operations. The ideal candidate will have hands-on experience in flight operations, a strong background in Part 135 aviation, and preferably hold an FAA dispatcher license, though this certification is not strictly required.
In this pivotal role, you will assist with trip planning, international paperwork, crew scheduling, crew logistics, and ensuring compliance with Part 135 regulations. You will report directly to the Director of Systems Operations Control (SOC) and work closely with the Director of Operations, Chief Pilot, and Director of Maintenance to prioritize and streamline operational activities.
Key Responsibilities:
- Perform flight locating procedures in accordance with the General Operations Manual (GOM)
- Audit pilots' trip paperwork (trip packets) on a daily basis
- Monitor flight operations for weather, NOTAMs, delays, and any irregularities
- Handle monthly and quarterly international trip reporting (INS, APIS, Canada)
- Maintain flight records in compliance with 14 CFR 135.63(c-d)
- Provide pilots with critical information to safely release and operate flights
- Cancel or re-release flights when safety is compromised
- Make operational decisions during irregularities, collaborating with Flight, Maintenance, and Passenger Service personnel
- Review factors affecting each flight and determine safe operating parameters
- Update trip sheets as changes occur after quoting/initiating trips
- Utilize approved weather sources for obtaining relevant weather information
- Monitor maintenance and mechanical delays at origin, destination, and intermediate stops
- Perform passenger and crew vetting (AOSSP)
- Obtain landing permits, prior permissions (DOD operations on air bases)
- Acquire international flight clearances and permissions (through handlers)
- Track and verify landing fee billing accuracy
- Research new technological developments to improve operational efficiency
- Coordinate implementation of new methods, techniques, tools, and recordkeeping processes
- Maintain accurate Master Pilot Lists (add/delete crew members as notified)
- Coordinate crewmember training and schedules
- Assign full crew complements for all flights (PIC, SIC, cabin attendants)
- Ensure crewmember qualifications (regulatory and vendor) before flight assignments
- Coordinate crew travel arrangements (hotels, airlines, rental cars, etc.)
- Reroute/reschedule crews due to irregularities, maintaining compliance with policies
- Prepare reports on crew sick calls, irregularities, and daily operational information
- Manage and utilize crews effectively during assigned shifts
- Ensure adherence to rest, duty, and flight time limitations (14 CFR 135.263, 267, 267(c))
- Explain and apply scheduling rules per FAA regulations and FRMP
- Brief crewmembers on trips and company assignments
- Maintain aircraft and pilot schedules, recommending improvements to crew scheduling policies
- Demonstrate strong management, customer service, and interpersonal skills
- Train, guide, and empower new flight operations coordinators/dispatchers
- Monitor future flight operations, ensuring permits, approvals, slots, and permissions
- Optimize flight schedule for maximum internal utilization, escalating demand concerns
- Manage difficult crew situations with courtesy and sensitivity
- Track, organize, and update all departments during irregular operations
- Collaborate with the SOC Director to maintain accurate processes, procedures, materials, and courseware
- Ensure compliance with the Flight Operations Manual, FAA regulations, and Chief Pilot guidance
- Perform other duties as assigned by the Director of SOC
