Role purpose
The Import/Export Specialist at Hollar Seeds is a pivotal role responsible for overseeing all aspects of shipping operations, both internationally and domestically. This position requires a strategic thinker with a strong attention to detail, exceptional organizational skills, and a deep understanding of global shipping regulations and logistics. The role coordinating shipments, ensuring compliance, and optimizing shipping processes to support the efficient distribution of seeds while maintaining the highest quality standards.
Qualifications High School Diploma or GED required Bachelor Degree preferred Previous experience in Import/Export operations preferred Working with freight forwarders, customs brokers and third-party logistics providers Proficiency in Microsoft Office tools (Word, Excel, and Outlook) Attention to detail to ensure accuracy in document preparation and compliance with regulations. Strong communication and interpersonal skills to collaborate with internal teams and external stakeholders. Problem-solving skills to address issues related to customs clearances, shipping delays, and trade compliance requirements. Ability to work under pressure and meet deadlines in a fast-paced environment Primary Responsibilities: Shipment Management manage the shipments of all domestic and international shipments: Get quotes and book shipments with freight forwarders – air or ocean international shipments Get quotes and book shipments UPS, FedEx, and truck lines for domestic shipments and inland freight for international shipments Obtain quotations from forwarders for proforma invoices Prepare all necessary documentation for domestic and international shipments (phytosanitary certificates, ISTA certificates, non-GMO certificates, legalization, etc.) Generate shipping lists and invoices in SAP for all shipments Obtain phytosanitary certificates from the Department of Agriculture File all documents with invoices o Arrange delivery of documents to customers or forwarders Arrange for the legalization of documents when necessary Request ISTA Orange Certificates as needed Approve bills from freight forwarders, FedEx, DHL, and other companies as needed Email all customers and inform them of shipments along with tracking information and any other necessary data o Arrange outgoing parent seed shipments to both domestic and international vendors Coordinate import shipments with customs broker for incoming seed from international vendors Organize and track incoming foreign phytosanitary certificates Prepare proforma invoices for account managers when necessary Send picture labels for approval by customer before packaging when needed Troubleshoot UPS software issues, including supporting the shipping computer in the warehouse Arrange monthly inventory inspections with the department of agriculture when needed Arrange shipment of our trade show booth Backup Inventory and Logistics Manager and Sample Specialist Answer phone when needed Assist with HSE documentation filing Assist Finance Specialist with: Petty cash reconciliation, invoice entry into SAP, and bank Deposits Additional Information Full Benefit Package (Medical, Dental & Vision) that starts the same day you do 401k plan with company match, Profit Sharing & Retirement Savings Contribution Enhanced Vacation Policy with a 15 days of vacation, 9 Paid Holidays Maternity and Paternity Leave, Education Assistance, Wellness Programs, Corporate Discounts among others A culture that promotes work/life balance, celebrates diversity, and offers numerous family-oriented events throughout the year Annual Rate:$56,000 - $62,000 Syngenta is an Equal Opportunity Employer and does not discriminate in recruitment, hiring, training, promotion or any other employment practices for reasons of race, color, religion, gender, national origin, age, sexual orientation, marital or veteran status, disability, or any other legally protected status.
