THE OPPORTUNITY The Global Experience Specialist (GXS-P) – Partnerships supports the Sr. Global Experience Manager (SGXM) with department administrative tasks, venue sourcing, contracting, work orders and other day to day vendor related activities, as requested.
Duties & Responsibilities Assisting with all aspects of project start up and tracking – i.e. adding new vendor partners and contacts to EPIC/CRM, vendor assignments, venue sourcing, budgeting, contracting, administrative management, etc. Develop and maintain client and vendor partnerships by delivering the highest level of customer service Coordinating between departments and operating units in resolving day-to-day administrative and operational problems Work directly with vendor partners on client needs. Upon direction from client, request contracts with approved vendors making sure all necessary needs and project scope are included in contracts Request that hospitality guidelines are completed by Chief Compliance Officer when country information is provided to MTA by client and ensure only compliant vendor partners are used based on client and country specific guidelines Provide holiday (bank and religious) and congress information for client review when needed Organize attendee and client polling when needed – event availability, desire for meeting type, etc. Build partnerships between MTA and all vendors at the global and individual level attending face-to-face meetings with partners as needed throughout the year Negotiate and track cost savings for each contracted opportunity and vendor type required Responsible for following all MTA policies and procedures related to security controls for the protection of personal or sensitive data and all confidential information; personal and sensitive data is defined as such by GDPR; confidential information is defined as all data, documents, or materials, in any form or medium, provided to the company that could reasonably be expected to be proprietary to a client or sponsor; confidential information includes, but is not limited to, any information concerning or relating to the property, products, technology, business and affairs of that client or sponsor Attend industry meetings to build relationships and increase company exposure within vendor partner networks Complete mandatory training assignments on time and as directed Attend internal workshops as scheduled and travel as required (approximately 10%) Provide recommendations for improvements of MTA security controls Other duties as assigned Education, Knowledge & Experience Bachelor's Degree or Equivalent Work Experience Microsoft Office Suite/ PC Proficiency Knowledge of World Geography and Culture Experience with Contract Negotiations, Budgets, Change Orders, etc. Vendor Experience Preferred (Hotel, Venues, DMC, etc.) CVENT Experience Preferred Skills & Qualifications Effectively, Professionally and Respectfully Communicate with All During Course of Job Duties Exceptional Written and Oral Communication Skills Process Driven and Self-Motivated Dedicated and Focused Excellent Organization Skills Maintains Collaborative and Positive Working Relationships with All Colleagues Time Management and Ability to Prioritize Tasks Strongly Self-Disciplined Thrives in a Virtual Team Environment Laser Sharp Attention to Detail Ability to Work Across Multiple Time Zones and Relate to Diverse Cultures
