Responsibilities: Provides first class customer service - courteous and helpful to all internal and external customer types Greets and engages with a smile Determines and meets needs Seeks positive experience and outcomes Answers questions in a courteous and professional manner Partners with internal and external services as needed to ensure appropriate referral is made Completes all training and development requirements and participates in continuing education opportunities Works in a collaborative and supportive manner to support the productivity and safety of the work area, team members and customers of all types Shares responsibilities for maintaining adequate supplies and equipment Maintains general upkeep of work area and maintains a safe environment Observes and addresses potential environmental hazards and risks Maintains and promotes professionalism Punctual and consistent in meeting start time, work schedule, attendance and other assigned work time metrics Adheres to Chickasaw Nation dress code standards May provide break coverage for others as assigned May augment staff in other areas as needed based on staffing and needs ratio in regularly assigned unit Maintain knowledge of and follow all laws, rules, regulations, policies and SOPs for assigned area, e.g. MICS, TICS, hospital standards, health codes, food sanitation, accounting principles, etc. Assists with all aspects of travel arrangements Coordinates travel arrangements Prepares and processes travel requests, travel claims and check requests Prepares and provides meeting minutes, agenda creations, and distribution of documents for meetings Provides coverage/assist with the front reception desk as needed Schedules staff meetings, conferences, and events Manages and orders office inventory, equipment, uniforms and other operational supplies Creates and submits requisitions according to departmental needs Maintains files, logs, and records Assists managers with timekeeping in the time management system Maintains spreadsheets and databases and inputs data entry Screen, process, and distribute applications Provides key access for all employees/customers Changes key access identification numbers for each employee on a quarterly basis to ensure compliance regulations are consistently met Investgates any key log report descrepancies regarding key check-outs and returns Contacts the vendor to resolve any key system errors Updates employee key access information in order to add or replace keys to the key access log May resolve routine inquiries for the facility or facility group Actively participates in the planning and execution of facility events Answers the phone, transfers calls, takes messages and screens calls per guidelines for areas served Serves as a liaison between third party vendor and internal management Receives and process purchase requisitions and change requests, within the delegation of authority limits, from internal departments using the Chickasaw Nations multiple purchasing applications. Maintains an accurate and complete sign-in sheet Greets persons entering the building and directs individuals to correct destination Covers the reception area at all times All other duties as assigned Competencies: Essential: Follow instructions, written or oral Adhere to all scheduling and attendance requirements Must be able to exert analytical and critical thinking skill Must be detail-oriented Must be self-motivated Ability to work independently Honesty, truthfulness, reliability, accountability Read, understand and apply regulations and policies Establishes professional working relationships Communicates verbally with team, departments, guests and management Skills: Essential: Basic Computer skills Must be familiar with the MS Office Suite of products 10-key adding machine Printers and scanners Must be able to operate related office equipment Accurately type 50 words per minute Accurately type 55words per minute Experience: Essential: 2 years directly related experience Nonessential: No prior experience required.
