The Lewis-Sigler Institute for Integrative Genomics seeks a Facilities and Logistics Coordinator to manage the Icahn loading dock and provide operations, facilities, purchasing, and business support in the Institute. This position will work closely with the Operations and Purchasing Manager, to whom the position will directly report, on Icahn building operations as well as purchasing and business functions while also being directly responsible for receiving and delivering equipment, supplies, and other packages at the Icahn loading dock. The Facilities and Logistics Coordinator will assist the Operations and Purchasing Manager with responding to building and equipment emergencies, submitting work orders for building and equipment maintenance, and provide back-up coverage in his absence. The Facilities and Logistics Coordinator will be responsible for the upkeep of all Institute building directories.
Primary responsibilities include but are not limited to: Operations & Facilities Functions: Oversee all deliveries and mail: receive deliveries, deliver the packages to labs or offices in the Institute; establish and implement operational procedures for incoming and outgoing shipments and handling of equipment and materials. Determine storage methods and locations of incoming shipments, taking into consideration temperature, weight or height limits, floor loading capacity and required space. Evaluate the urgency of the delivery of certain materials (e.g. those stored on dry ice) and expedite delivery if needed. Distribute all US & campus mail to mailboxes or labs as appropriate. Maintain, order, and deliver gas cylinders to the labs; order specialty gases as needed; maintain the records for delivery of dry ice. Manage the computerized UPS and FedEx shipping systems (eShip Global), creating labels for Institute personnel and accounting in Concur for credit card charges. Ensure compliance with regulations about domestic and international shipping, and with regard to biological and other regulated materials. Oversee laboratory waste collections, inspecting containers for proper handling, storing materials appropriately and complying with federal, state and local health and safety regulations. Assist in the safety training program. Interface with EHS as needed. Respond to equipment and building emergencies and submit work orders for building and equipment maintenance as needed. Work with Facilities to ensure building/event supply and support requests are successfully processed for events at the Institute. Maintain all Institute building directories. Administer building access via key, CACS and Salto locks for the Institute. Responds to requests to create zones, add and delete personnel from spaces, and troubleshoot ID card issues. Place orders for new locks. Provide back-up coverage in the Operations and Purchasing Manager's absence. Business and Purchasing Functions: Create, check, and approve requisitions. Use assigned Prime Carts to create requisitions with appropriate chart strings. Approve requisitions from labs, ensure compliance with federal regulations, check and correct codes and any errors. Manage the billing for the common support recharge center, tracking, monthly billing, distribution. Provide additional ad hoc support to Operations Manager and Finance Manager with Institute purchasing and billing. Capital Equipment and Asset Management and Compliance: Administer the cataloging, tagging, and tracking of capital equipment and high valued university assets. Update location and fill critical data for new assets. Assist in Physical Asset Inventory as needed. Ensure compliance with regard to the purchase, resale, and surplussing of capital assets. The successful candidate must be flexible and willing to cover a variety of roles at the Institute; the candidate will need to work set hours that coincide with the loading dock hours. Dock must be attended from 8:00AM to 4:00PM, Mon-Fri.
Physical requirements for this position: Stand or walk 2-4 hours at one time for up to 6 hours per day; sit for up to 2 hours per day; lift or carry up to 25 pounds frequently (34 – 66% of the work day); lift or carry up to 100 pounds occasionally (up to 33% of the work day); push or pull using forces up to 25 pounds frequently (34 - 66% of the work day); push or pull using forces up to 100 pounds occasionally (up to 33% of the work day); repetitively use hands for simple grasping, pushing, or pulling; kneel, crawl, knee stand, bend, squat, reach overhead, lift overhead, or climb stairs occasionally (up to 33% of the work day); lift up to 100 pounds in a range of motions from floor to waist height; lift up to 50 pounds in a range of motions from floor to overhead; work outdoors and on a loading dock in a variety of environmental conditions; possess full range of body motions and physical agility. The finalist will be required to pass a pre-employment physical.
Essential qualifications: At least 5 years of relevant experience. Solid computer skills with expertise in word processing, document scanning and spreadsheets. Excellent interpersonal and communication skills (both written and oral) required. Exceptional organizational skills. Ability to work independently, to manage multiple priorities simultaneously and to collaborate constructively with staff across campus. Exercise discretion in obtaining and providing factual and confidential information. Experience working in a higher education, medical, or similar environment. Experience with meticulously following policies and procedures. Preferred qualifications: Bachelor's degree. This position is subject to the University's background check policy.
