: We are seeking a detail-oriented and client-focused Administrative Assistant to join our team. This role requires a combination of administrative efficiency and interpersonal skills to manage daily operations smoothly and maintain strong relationships with our clients and our broker/dealer Commonwealth.
Key Responsibilities: Schedule and coordinate meetings and phone calls with clients.
Follow pre-established guidelines to help the advisor prepare for the meetings.
Maintain and update client information using our Customer Relationship Management (CRM) system.
Process paperwork for opening new accounts and executing financial transactions.
Manage correspondence with clients, including drafting and sending business letters.
Ensure compliance with financial industry regulations and standards.
Support the advisor on projects and tasks as needed.
Answer phones, manage outgoing calls as needed, and efficiently handle the voicemail and phone VOIP system.
Requirements: Minimum of 5 years of experience in the financial services industry, preferably in roles such as banking, financial advisory assistance, or at a title company. (Note: Experience as a cashier is not equivalent to these roles.)
Proficiency in Microsoft Office suite (Word, Excel, Outlook, PowerPoint).
Excellent written and verbal communication skills.
Familiarity with graphic design and project management tools such as Canva and Airtable is a plus.
Demonstrated ability to handle confidential information with discretion.
Strong organizational skills and attention to detail.
Qualifications: High school diploma required; further education or certification in administrative services or a related field is preferred.
Proven track record of effectively handling administrative tasks in a financial setting.
