About the role: As an Executive Assistant, you will perform secretarial and administrative tasks for the Division Executive. Your responsibilities will include managing the Executive's schedule, arranging appointments, travel, meetings, and conference calls. This role requires reporting to our Jacksonville, FL Headquarters for 4-5 days a week. About the team: Our Executive Assistants are essential in holding everything together and promoting efficient collaboration. As part of our Future Forward initiative, our new EA Center of Excellence aims to achieve functional excellence efficiencies through collaboration and a sense of community. What you will be doing: Your role as an Executive Assistant will involve performing administrative duties for the Executive and the team, ensuring timely responses and efficient turnaround times. You will manage schedules, arrange appointments, handle travel arrangements and expense management, coordinate meetings, and more. This is a fast-paced, responsive team, and we are looking for someone who is technologically savvy. Perform various high-level administrative duties, including executive and personal assistance, meeting planning and coordination, and handling meeting requests.
Develop strong relationships with other Executive Assistants, enabling close collaboration across teams.
Act as a "gatekeeper" and facilitate smooth communication between the executive and stakeholders, demonstrating leadership skills to maintain credibility, trust, and support with the Executive Team.
Proactively anticipate business needs and exercise initiative and independent judgment.
Stay up-to-date on corporate policies and ensure accurate interpretation and communication of executive intent to other employees.
Apply excellent customer service, time management, and organizational skills while working under minimal supervision.
Edit materials for grammar, punctuation, clarity, and sentence structure.
Distribute prepared materials to appropriate parties and revise as directed.
Effectively communicate knowledge and updates using written and verbal communication skills.
Maintain files on correspondence, reports, and other records, and keep the executive and the leadership team informed of meeting changes.
What you bring: Minimum of a High school diploma or GED
5+ years of experience as an Executive Assistant or Sr. Administrative Assistant
Extensive knowledge of general clerical administrative duties and proficiency in industry-standard applications, particularly MS Outlook, MS Word, Excel, and PowerPoint
Attention to detail and ability to follow-through on open items
Ability to maintain confidentiality, communicate effectively, and maintain accurate records
Adaptability to changing business needs
Ability to effectively manage executive calendars and set expectations
Willingness and ability to quickly learn new company processes and policies and effectively communicate them to the executive
Effective written and verbal communication skills
Ability to establish and maintain effective working relationships with executives, employees, clients, and the public
