Role Summary:
As an Executive Assistant, you will play a pivotal role in supporting our CEO. This involves managing professional logistics and coordination to maximize CEO effectiveness. You will also collaborate closely with the Chief of Staff to align with corporate priorities, manage significant meetings, and handle communications with key stakeholders such as customers, investors, and board members. This role demands a proactive, creative problem-solver who is adept at managing logistics and organizing complex schedules with minimal supervision.
Key Responsibilities:
Manage and coordinate complex, multi-party schedules and appointments.
Proactively identify and resolve scheduling conflicts.
Arrange travel and manage logistics, anticipating needs and potential adjustments.
Coordinate logistics for internal and external meetings, events, and conferences.
Document and maintain minutes of meetings.
Generate and handle sensitive, high-quality correspondence and communications.
Act as the first point of contact for senior internal and external stakeholders.
Maintain strong liaisons with executive assistants across the company and with executive clients to streamline scheduling.
Track, monitor, and follow up on pending business issues to ensure timely execution.
Support the Chief of Staff in managing and updating the corporate calendar and distributing communications.
Maintain and update ongoing reports, databases, and organizational documents.
Mentor and guide other members of the administrative team.
Develop and implement best practices for administrative functions.

Proficiency in managing a dynamic executive calendar and prioritizing effectively under pressure.

A passion for healthcare and a desire to make a tangible impact.
Proficiency in MS Office suite, particularly Outlook, Word, Excel, and PowerPoint.
Prior experience in executive-level management support.
